Job Summary
We are looking for a highly organized Admin/Events Coordinator to help with company event planning end-to-end. This role requires an equal mix of creative vision and hands-on execution, designing and orchestrating corporate events while being present on the ground to help set up, run, and break down each experience.
Essential Functions
Corporate & Organizational Event Planning
- Help plan and coordinate company events and offsites, including venue sourcing, agenda logistics, catering, AV, and possible travel coordination.
- Support company-wide town halls, holiday parties, and celebrations as needed.
- Coordinate catering as needed, including helping with and overseeing setup and teardown.
- Build and maintain relationships with preferred vendors, caterers, and venues.
- Draft event budgets, track spend and reconcile invoices in a timely manner.
- Other duties related to event execution, such as contacting hotels, travel partners, caterers, and making inquiries on behalf of others via phone and email.
Logistics & On-Site Support
- Perform physical setup and teardown for all events, including furniture arrangement, signage, table settings, AV equipment, and catering displays.
- Travel regularly between the SLC office and Ogden facility to support events at both locations.
- Serve as the primary on-site point of contact during events, troubleshooting issues in real time.
- Maintain event supply inventory and coordinate procurement of materials as needed.
Wellness Events
- May assist People Team with planning and execution of wellness events such as lunch-and-learns, fitness challenges, mental health awareness activities, fairs, and seasonal initiatives.
Job Qualifications
Required
- 1-2 years of experience in event coordination, executive support, employee experience, or a closely related role.
- Exceptional organizational skills with the ability to manage multiple events and deadlines simultaneously.
- Strong interpersonal and communication skills; comfortable working across all levels of the organization.
- Demonstrated ability to work independently with minimal supervision.
- Comfortable with physical event setup and teardown tasks.
- Reliable personal transportation and willingness to travel regularly between SLC and Ogden locations.
- Proficiency with Microsoft Office Suite and/or Google Workspace; familiarity with project management tools a plus.
Preferred
- Experience providing administrative or logistical support for meetings and events involving managers or team leads.
- Background or certification in business, health promotion, or related field.
- Vendor management and budget oversight experience.
Physical Requirements
This role is primarily on-site. The position involves regular physical activity including lifting, carrying, and arranging equipment and supplies for event setup and teardown. The ability to lift up to 30 lbs. unassisted is required. Occasional evening or weekend hours may be needed to support specific events.
