The Bethlehem Area School District is seeking a highly organized and professional Administrative Assistant to the Chief Financial Officer. The ideal candidate will collaborate effectively with all district departments and the broader community while supporting a fast-paced, detail-oriented Business Office. This role requires a proactive, resourceful professional who demonstrates strong problem-solving abilities, discretion with confidential information, and a commitment to accuracy and continuous improvement.

This position demands excellent communication skills, including active listening, clear writing, and professional interaction with diverse stakeholders. The successful candidate will be able to manage multiple priorities, respond to emerging needs, and build positive working relationships across departments. This full-time, on-site position operates within a collaborative office environment that supports district-wide financial and operational functions.

Responsibilities:
  • Perform complex secretarial and administrative functions to support the Chief Financial Officer, Business Office and district operations
  • Assist with projects and reporting requirements, including audit preparation, Title IX reporting, Act 16 reporting, and budget reporting
  • Serve as Recording Secretary for the Board Finance Committee and BASD Employee Benefit Trust by preparing agendas, attending meetings, recording minutes, and maintaining documentation
  • Support all activities related to the Board Secretary, including:
  • Developing and maintaining the Board calendar
  • Advertising Board meetings and updating schedules on the website
  • Preparing Finance Committee, Budget Workshop, and Special Board meeting agendas
  • Compiling and organizing materials for Board meetings
  • Processing Board communications and managing executed agreements and contracts
  • Recording Board actions and maintaining official records
  • Maintain Statements of Financial Interests for Board members and administration
  • Manage administration of district insurance programs
  • Assist with preparation of the annual budget by coordinating departmental submissions, developing timelines, preparing legal advertisements, drafting presentations and budget materials, attending Budget Workshops, and supporting required state filings
  • Perform other duties as assigned

Qualifications:
  • Proficient in office technology and administrative systems, with advanced organizational and multitasking abilities
  • Strong problem-solving skills and the ability to manage complex workflows independently
  • Excellent interpersonal and communication skills, with the ability to interact professionally with staff, administration, Board members, and community stakeholders
  • Demonstrated ability to handle confidential information with discretion and professionalism
  • Highly organized with exceptional attention to detail and follow-through
  • Ability to work effectively in a fast-paced environment while managing competing priorities

New employee starting salary range: $60,000 - $70,000 depending on experience
