Position Overview:

Bethany College seeks a highly organized, energetic, and student-centered Campus Visit Coordinator to serve as the primary steward of the campus visit experience. This position is central to how prospective students and families encounter Bethany—our people, our place, and our promise as a small, relational liberal arts college.

The Campus Visit Coordinator manages the daily flow of individual and walk-in visits, collaborates in coordinating large visit events, and supervises student ambassador guides. The role requires flexibility, strong communication skills, and a welcoming presence, along with the ability to collaborate across campus to ensure each visit reflects Bethany’s values and distinctive culture.

This is a part-time position (25-29 hours per week), typically five hours per day, five days per week, with rotating dates and times based on campus visit and event needs. Occasional evening or weekend hours are required during peak visit periods and major events.

Essential Functions:

Campus Visit Coordination

  • Receive, process, schedule, and confirm all requests for individual on-campus visits and virtual visits. 
  • Collaborate on the setup of on-campus and virtual enrollment dates and individual enrollments.
  • Facilitate and host walk-in visits, making real-time adjustments to visit schedules as needed.
  • Coordinate visit components with faculty, coaches, music staff, admissions counselors, student services, and other campus partners.
  • Serve as a primary point of contact for prospective students and families regarding the scheduling of the visit - before, during, and after their visit.

Event & Program Support

  • Collaborates in coordinating activities and logistics for on-campus visit events, including a variety of recruitment center events such as: Preview Days, Music, Art, and Athletic events, and other student recruitment days.
  • Work collaboratively with offices across campus on major events such as orientations and special recruitment programs.
  • Maintain a high level of energy and hospitality with all visitors and current students by representing Bethany with warmth, professionalism, and enthusiasm.

 Student Staff Supervision

  • Supervise campus walk (tour) guides, including scheduling, day-to-day oversight, and performance feedback.
  • Assist with hiring, training, and ongoing development of tour guides.
  • Continually assess and improve the campus tour program to ensure quality, consistency, and authenticity. 
  • Collaborate across campus to ensure showrooms, buildings, and grounds are meeting expectations for guests.

Welcome Area & Office Support

  • Organize and maintain the campus welcome area to ensure it is inviting, orderly, and well-stocked with materials and supplies.
  • Support the smooth flow of the admissions and financial aid offices through strong organizational systems and attention to detail.
  • Answer and route incoming calls on a multi-line phone system for Admissions and the broader campus, directing inquiries to the appropriate offices.

Qualifications:

Required:

  • Associate’s degree or equivalent professional experience.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent interpersonal and communication skills, both in person and by phone/email.
  • Comfort working in a fast-paced, people-facing environment with frequent schedule changes.
  • Ability to work collaboratively across departments and with student employees.
  • Proficiency with standard office technology and databases (CRM experience a plus).

Preferred:

  • Bachelor’s degree.
  • Prior experience in admissions, campus visits, hospitality, event coordination, or customer service.
  • Experience supervising or training student employees.
  • Fluency in Spanish or additional languages.
  • Familiarity with small private or rural colleges and relational recruitment models.

Working Conditions

  • 25-29 hours per week, typically five hours per day.
  • Schedule varies based on campus visit volume and event needs; some evening and weekend hours required.
  • Office-based with frequent walking across campus and standing during tours and events.
