What are the responsibilities and job description for the Behavioral Health Services Administrative Assistant position at Bethanna?
The Behavioral Health Services (BHS) Administrative Assistant will provide support to the BHS teams, which includes reception and administrative duties. This role is responsible for answering all incoming phone calls to Behavioral Health Services, connecting each caller with the appropriate individual, taking messages, giving information as needed to callers, greeting children and families served, and oversight of their psychiatric appointments. This position is also responsible for typing, copying, faxing/mailing correspondence, maintaining program files, tracking, reports and other documentation necessary. The BHS Administrative Assistant also communicates with the team members regarding services, coordinates psychiatric care and rescheduling.
The BHS Administrative Assistant will:
- Oversee office management, including ordering supplies, arranging building maintenance when needed, keeping office equipment in working order and ordering refreshments for meetings.
- Maintain database, including entry of data, appointment scheduling, excel tracking, and any other databases determined to be necessary
- Answer phones/return voicemail, communicate messages to program staff or direct families to appropriate team members
- Prepare for and maintain psychiatric/psychologist appointment documentation, including preparing appointment documentation needed, overseeing documentation completion and provision during session, securing/submitting billing documents, medication related documentation and ensuring psychiatrist time sheets are submitted
- Type documents, including program reports, evaluations, program correspondence, and evaluations
- Ensure medication is accessed through prescription provision, prior authorization, etc. as needed
- Gather and provide all program documentation requested with appropriate release
- Secure EVS as needed
- Score Structured Tools as needed
- Assist with managing staff appointment schedules
- Maintain Medical Records (Paper and Electronic)
- Ensure DPW/MCO documentation standards are met
- Attend all mandatory State, County, Managed Care, and Certification trainings required
- If your position requires Licensure and/or Certification, the workforce member must ensure all credentialing and CEUs are completed in order to maintain an active license or certification
