Position Overview
Beta of Clovia seeks an experienced and relationship-oriented Campaign Project Coordinator (the Coordinator) to manage and organize fundraising efforts for our ongoing capital campaign to build a new chapter house. This is an Independent Contractor position.
This role will serve as the operational and relational anchor of the campaign, coordinating donor outreach, communications, records, volunteers, and reporting. The Coordinator will work closely with the Board of Directors, a volunteer fundraising committee, and an external professional campaign
management firm, which will conclude its engagement in November 2026.
This position is ideal for a nonprofit fundraising professional who is comfortable working independently, values mission-centered work and understands the nuance of relationship-based fundraising within a sorority organization.
The Coordinator will report to the Fundraising Chair of the Board of Directors of the Beta of Clovia Alumnae Association and will oversee the Campaign Committee.
Contractor Status & Time Commitment
- Independent contractor (1099)
- Fully remote position, an office set up payment of $500 will be provided. No ongoing renumeration for internet, office equipment or technology will be provided. Preferably located in Minnesota, or close to the Minnesota border.
- Part-time, flexible hours-15 hours per week
- Some evening or weekend availability will be required for donor outreach, meetings, or events
- Expected to work independently while maintaining regular communication with leadership
- Contract period is 12 months with possible extension
Key Responsibilities:
Fundraising & Campaign Coordination (35%)
- Coordinate all fundraising activities related to the capital campaign.
- Maintain momentum through the mid-to-late stages of the campaign.
- Support the transition from professional campaign management to internal coordination.
- Track fundraising progress against campaign goals and timelines.
Donor Relations & Stewardship (25%)
- Serve as a primary point of contact for donors and prospects.
- Manage ongoing relationships with current donors, ensuring timely and thoughtful stewardship.
- Conduct outreach calls to potential new donors.
- Draft and distribute fundraising communications, including campaign updates, appeals, and calls for support.
- Prepare and send donor acknowledgments, thank-you letters, tax contribution letters, and recognition materials.
- Manage pledge tracking, follow-up, and correspondence regarding late or outstanding pledges.
- Support donor recognition initiatives consistent with campaign strategy and donor intent.
Volunteer & Committee Management (15%)
- Coordinate and support a volunteer fundraising committee engaged in donor outreach.
- Prepare call lists, scripts, talking points, and briefing materials.
- Track volunteer outreach activities and provide follow-up support.
- Schedule and assist with fundraising meetings as needed.
Data, Records & Reporting (10%)
- Maintain accurate, confidential donor and contribution records.
- Manage and optimize the donor information management system and CRM.
- Research, evaluate, and recommend CRM solutions appropriate for a small nonprofit, if needed.
- Ensure data integrity and compliance with nonprofit best practices.
- Prepare clear, concise fundraising reports for the Board of Directors and Foundation Board.
- Assist with fundraising forecasts and progress summaries.
- Communications, Marketing & Events (10%)
- Support fundraising-related marketing and communications efforts.
- Draft content for newsletters, email campaigns, social media, and website updates.
- Coordinate donor engagement events or fundraising activities, including logistics and follow-up.
- Ensure consistent messaging aligned with Beta of Clovia’s values and tone.
- Collaboration & Governance (5%)
- Work closely with the Board of Directors and chapter leadership.
- Liaise with professional campaign managers during the remaining contract period.
- Ensure fundraising activities align with organizational policies, donor intent, and ethical standards.
Preferred Qualifications & Skills
Required:
- Previous experience in nonprofit fundraising or development.
- Demonstrated experience working directly with donors and prospects.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to work independently and manage multiple priorities.
- Previous experience using Google Drive applications, social media platforms, MailChimp and other tools for communications and marketing.
- Experience with donor databases, CRM systems, and record management.
- High level of discretion and respect for confidentiality.
- Valid driver’s license and 3rd party car insurance is required.
Highly Desired:
- Understanding of sorority, fraternal, or membership-based organizations including culture and traditions.
- Knowledge of or connection to Beta of Clovia and/or University of Minnesota, St Paul Campus is strongly preferred.
- Experience with capital campaigns or major gift fundraising.
- Donor engagement, volunteer or committee management experience.
- Analytical skills and experience preparing reports for boards or leadership.
Compensation:
Base wage of $30 hour per hour.
Bonuses: (new donors/pledges/cash donations from commencement of employment)
- Fundraising Goal: $500,000 a bonus of $2,500 will be awarded;
- Fundraising Goal: $750,000 an additional bonus of $3,000 will be awarded;
- Fundraising Goal: $1,000,000 an additional bonus of $4,000 will be awarded;
- Fundraising Goal: $1,500,000 an additional bonus of $5,500 will be awarded.
For approved travel: Mileage will be reimbursed at 50 cents per mile. Travel time will be negotiated depending on the contractor's location.
No health care benefits will be provided.
