Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and managing administrative tasks efficiently. This role requires strong communication skills, proficiency in office management software, and the ability to handle multiple responsibilities in a fast-paced environment. Bilingual abilities are a plus, as well as experience with medical or dental reception.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar bookings using Microsoft Office and Google Workspace tools
- Handle data entry, filing, and document proofreading with high accuracy
- Maintain organized records of patient or client information using QuickBooks or other office management software
- Assist with billing, bookkeeping, and basic administrative tasks as needed
- Support office management activities including supply inventory and correspondence
- Ensure the reception area remains tidy and welcoming at all times
- Provide excellent customer support through friendly phone etiquette and professional communication skills
Experience
- Prior office experience, including clerical or administrative roles, is preferred
- Experience with front desk operations in medical or dental settings is advantageous
- Familiarity with multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
- Bilingual skills are highly desirable to assist diverse clientele
- Proven organizational skills with the ability to manage time effectively and prioritize tasks
- Knowledge of bookkeeping or QuickBooks is a plus
- Strong typing skills and computer literacy are essential for success in this role
