We are seeking a high-level Executive Assistant who will act as a strategic partner and right hand to a top-performing luxury real estate advisor. This individual will play a critical role in protecting time, driving priorities, and ensuring seamless execution across all aspects of the business.
The ideal candidate is proactive, highly organized, detail-obsessed, and capable of operating with speed and sound judgment in a fast-paced, high-stakes environment.
This role requires someone who doesn’t wait for direction—but instead anticipates needs, solves problems before they arise, and continuously improves systems and workflows.
- Own and strategically manage a complex and ever-changing calendar, ensuring optimal prioritization of time and opportunities
- Manage inbox and communications, including drafting responses and handling client follow-up on behalf of Jason
- Serve as a gatekeeper and liaison between clients, agents, attorneys, and vendors
- Prepare briefs, meeting notes, and deal summaries to keep all parties aligned
- Build, implement, and refine systems and processes to improve efficiency and scalability
- Oversee transaction timelines, ensuring all deadlines and deliverables are met seamlessly
- Identify bottlenecks and proactively create solutions
- Help deliver a white-glove, Ritz-Carlton-level experience across all client touchpoints
- Coordinate showings, presentations, and client interactions with precision and attention to detail
- Maintain and strengthen relationships with high-level clientele and industry professionals
- Coordinate and manage marketing initiatives in collaboration with design and marketing partners
- Assist in executing listing launches, email campaigns, and social media strategy
- Ensure brand consistency and elevated presentation across all platforms
- Oversee listing preparation, presentations, and go-to-market execution
- Create and manage showing schedules and client itineraries
- Assist with market research and presentation development
- Develop, maintain, and optimize CRM systems to track relationships and opportunities
- Ensure consistent follow-up and database integrity
- Coordinate client events, open houses, and special initiatives
- Handle select personal tasks to support overall efficiency and time management
- Highly proactive with the ability to anticipate needs and think several steps ahead
- Exceptional organizational and time management skills
- Strong written and verbal communication; able to represent the principal with professionalism
