Make Dirk more effective and efficient in every situation possible by protecting his focus, optimizing his time, and ensuring flawless execution across business, personal, and household domains.
1. Role Summary (Strategic Level)
The Executive Assistant is the primary force multiplier for Dirk. This role exists to free Dirk from low-value activities, anticipate needs before they arise, create order out of complexity, and ensure that initiatives move forward reliably. Success equals increased strategic output from Dirk and reduced friction across all companies and leadership teams.
Dirk owns and runs multiple businesses and needs someone to work closely to "get things off his plate".

2. Primary Objectives (Measured Outcomes)
- Protect Dirk’s Focus
- Ensure his day is aligned to top priorities and remove distractions, noise, or low-value obligations.
- Own the Calendar Completely
Calendar is always clean, prepared, strategically aligned, and 2 weeks ahead detailed, 8 weeks ahead structured.
- Own the Inbox Completely
Reduce inbox volume by 80–90%, filter decisions, draft responses, escalate only what requires Dirk’s judgment.Identify and execute tasks, meetings, and responsibilities that do not require Dirk. Take ownership, not delegation.Ensure details, loose ends, commitments, and maintenance items never fall behind.Ensure Dirk experiences seamless travel, optimized meeting prep, and complete support before and after trips.Keep Dirk’s commitments moving: timelines, deliverables, communication, follow-up, and accountability.3. Regular Work Activities (Operational Responsibilities)Forward Planning & Time Management
- Remove Work From Dirk’s Plate
- Eliminate Small Problems Before They Become Big Problems
- Manage Travel, Meetings, and Logistics
- Project Manage for and Around Dirk
- Maintain a precise, confirmed 2-week forward plan.
- Maintain a structured, anticipated 2–8 week horizon with key priorities, travel, events, and constraints.
- Weekly alignment with Dirk on what must shift, be added, or be eliminated.
Communication & Coordination
- Manage Dirk’s email with near-zero unread or unprocessed messages.
- Communicate professionally with partners, ELTs, clients, vendors, and prospects.
- Prepare Dirk with briefings, pre-reads, summaries, and data before every meeting.
- Follow up after meetings and ensure deliverables move forward.
Execution & Admin
- Schedule meetings, manage Zoom links, coordinate locations, and prepare agendas.
- Research tools, topics, or needs related to Dirk’s initiatives.
- Execute on personal household tasks that improve efficiency and quality of life.
- Manage the Fort Worth estate when family is traveling.
- Track obligations, renewals, subscriptions, and maintenance items.
Project Management
- Build and maintain simple project trackers for Dirk’s commitments.
- Monitor where deliverables or decisions are stalled and help clear bottlenecks.
- Communicate clearly with internal team members to keep things moving.
