Our Immigration Law Firm is seeking a full time bilingual administrative assistant/receptionist to join our practice. Our caseload is rapidly growing and our ideal candidate for the position must be friendly, helpful, and work well with others. Because we are an Immigration Law Firm, you must be able to speak and write proficiently in Spanish and English. Experience in immigration law is preferred but not required as we can teach you all the skills needed to thrive and succeed within our growing practice. Office hours (Office is open Monday-Friday 9 am-5 pm)
This is also a customer service role. You should be able to deal with urgent matters in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. DACA recipients and anyone with current employment authorization are welcome to apply. Responsibilities:
· Fluent in Spanish and English (Bilingual) required
· Greet and welcome clients as soon as they arrive at the office
· Answer multi-line phone system, screen and forward incoming phone calls
· Provide basic and accurate information in-person and via phone/emailing
· Sending, receiving and processing all correspondence
· Update calendars for Attorney and Paralegals, schedule meetings
· Cataloging and maintaining case filing system
· Perform other clerical receptionist duties such as filing, photocopying, transcribing, scanning and faxing
Desired Qualifications:
· High School Degree or GED is required, Bachelor’s Degree is preferred
· Passion and enthusiasm for immigration legal work
· Fluent in Spanish and English (Bilingual) required
· Spanish fluency is required and will be tested at time of interview
· Experience working at a nonprofit, immigration law firm or public interest law firm is preferred
· Demonstrated ability to work within a high-volume, busy law firm is helpful
· Proven work experience as a Receptionist, Front Office Representative or similar role
· Proficiency in Microsoft Office Suite, Excel, Microsoft Word, Gmail Calendar
· Hands-on experience with office equipment (e.g. fax machines and printers)
· Professional attitude and appearance
· Solid written and verbal communication skills
· Ability to be resourceful and proactive when issues arise
· Excellent organizational skills
· Multitasking and time-management skills, with the ability to prioritize tasks
· Customer service attitude
