About the Role
An Operations Assistant at Bentley Meeker Lighting & Staging plays a crucial role in bridging the gap between office logistics, the equipment warehouse, and high-end event execution across New York City’s premium venues. Because the company manages complex, high-profile corporate summits, public landmarks, and luxury private events, this role demands strict organization and the ability to adapt in a fast-paced environment.
Responsibilities
Venue & Administrative Support
- COI (Certificate of Insurance) Management: Liaise with venue management and insurance brokers to generate and submit site-specific Certificates of Insurance, adhering strictly to the stringent property guidelines of NYC venues.
- Vendor and Client Liaison: Serve as a reliable point of contact for routine operational inquiries from event planners, venue partners, and internal project managers.
- General Administrative Upkeep: Keep the digital project management database updated, organize digital show files, maintain office/shop supplies, and assist with general data entry across accounting and operations software.
Crew & Labor Logistics
- Independent Contractor Scheduling: Assist the operations, production and labor management teams in booking, scheduling, and tracking availability for a large roster of freelance overhire labor (including lighting technicians, audio engineers, video specialists, and stagehands).
- Payroll & Time Tracking Support: Collect, review, and process digital sign-out sheets, timecards, and labor invoices for accurate weekly or bi-weekly payment tracking.
Field & Production Assistance
- On-Site Support: Periodically assist on-site during load-ins or strikes at flagship venues, helping to manage crew sign-ins, distribute credentials, or handle emergency gear run logistics from the main shop.
- Inter-Departmental Communication: Act as a central communication hub between the technical designers, project managers in the field, and upper management to ensure change orders or timeline shifts are clearly communicated to all parties.
