POSITION SUMMARY:
The Project Coordinator supports the Project Manager in planning, organizing, and overseeing projects to ensure they are completed on time, within budget, and to the required quality standards. This role assists with document management, scheduling, procurement coordination, reporting, and communication across project stakeholders. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced construction environment.

KEY REPORTING RELATIONSHIPS:
This position reports to multiple Project Managers.
DUTIES AND RESPONSIBILITIES:
- Assist the Project Manager in developing and maintaining project plans, schedules, and safety documentation.
- Coordinate with procurement and vendors to ensure timely ordering and delivery of materials and equipment.
- Help track project progress through daily logs, reports, and project management software updates.
- Support field staff by managing jobsite logistics and facilitating communication between the office and site teams.
- Prepare and distribute meeting agendas, take notes, and track action items from internal and external project meetings.
- Maintain job binders and ensure all required documentation (permits, licenses, submittals, etc.) is complete and up to date.
- Assist with processing and tracking change orders, RFIs, submittals, and related project documentation.
- Collaborate with accounting to support accurate billing, expense tracking, and payroll documentation.
- Monitor inventory levels and support job site material returns at project closeout.
- Communicate professionally with clients, subcontractors, and internal team members to support smooth project execution.
- Assist in ensuring safety policies are being communicated and followed by project teams.
- Perform general administrative duties to support the Project Manager and jobsite teams as needed.
- Other duties and projects that may be assigned from time to time by managers.
KNOWLEDGE, SKILLS AND QUALIFICATIONS:
- Familiarity with construction documentation and project lifecycle.
- Strong written and verbal communication skills. Able to effectively communicate verbally and in written form in English.
- Highly organized and detail-oriented; able to manage multiple priorities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with project management software preferred.
- Basic understanding of electrical and general construction processes and terminology.
- Ability to read and interpret construction drawings is a plus.
- Team-oriented with strong interpersonal skills and a proactive mindset.
- Able to maintain confidentiality with sensitive company information.
- Able to effectively present information and respond to questions from management, Clients, and the general public.
- Aggressive, deadline and results driven; can react quickly to challenging circumstances to achieve the desired end results.
- Passionate about quality and holds him/herself to a high standard that is recognized by everyone.
POSITION QUALIFICATIONS:
- Minimum 5 yrs of experience in Construction Project Coordination or Administration; electrical contracting experience a strong plus
- Associate’s degree in Construction Management, Business Administration, or related field preferred.
PHYSICAL REQUIREMENTS:
- Regularly required to stand and/or walk for long period of time while completing other duties and responsibilities.
- Must have full range of body movements including use of his/her hands/fingers, handle and feel objects such as computer equipment and other office equipment. Must have the ability to bend the body, reach for objects, and to crouch when needed.
- Specific vision abilities required include close vision, depth perception, and the ability to adjust focus. These vision requirements in each area must be sufficient to shift in focus from computer screens to close forms.
- Ability to lift up to twenty five (25) lbs.
WORKING CONDITIONS:
- Office environment with periodic visits to job sites.
- May be exposed to varying weather conditions during site visits.
- Some travel (10–25%) to jobsites may be required.
- Indoors in a smoke-free office environment as well as outdoors at job sites.
