Duties
- Greet guests warmly upon arrival and assist with check-in/check-out procedures to ensure a smooth experience
- Manage appointment scheduling using multi-line phone systems and computer software, including calendar management tools
- Maintain accurate client records through data entry, filing, and updating electronic databases
- Answer inquiries via phone and in person with professional phone etiquette, providing detailed information about services and promotions
- Coordinate with therapists and staff to optimize daily schedules and ensure timely service delivery
- Handle administrative tasks such as proofreading forms, managing office supplies, and supporting bookkeeping activities using QuickBooks or similar software
- Support overall office management by organizing files, maintaining cleanliness of the reception area, and assisting with clerical duties as needed
- Walk clients through services.
Skills
- Proven experience in front desk operations with excellent organizational skills
- Strong proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools
- Exceptional customer service skills with the ability to communicate effectively in bilingual settings if applicable
- Knowledge of multi-line phone systems and phone etiquette to handle high call volumes professionally
- Experience with office management tasks such as filing, proofreading documents, calendar management, and bookkeeping
- Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment
- Personal assistant experience or administrative experience that demonstrates time management and organizational prowess
