Duties
- Greet patients warmly and manage front desk responsibilities with professionalism and enthusiasm
- Schedule appointments efficiently using electronic health record (EHR) systems such as Lytec
- Verify insurance coverage and perform insurance verification to facilitate seamless billing processes
- Collect patient information, update medical records, and review documentation for accuracy and completeness
- Manage phone systems with excellent phone etiquette, handle multi-line calls, and direct inquiries appropriately
- Maintain organized filing of medical records, patient charts, and office documents in compliance with HIPAA regulations
- Support clinical staff with intake procedures, preparation of care plans, and basic clinical documentation review
- Utilize computer skills to update electronic health records (EHR), process billing transactions, and generate reports using Microsoft Office tools
- Conduct medical collection efforts to ensure timely payments while maintaining positive patient relationships
- Assist with inventory management of office supplies and medical equipment
Qualifications
- Proven experience as a Medical Office Assistant or in a similar healthcare administrative role with clinic or medical office experience preferred
- Strong knowledge of medical terminology, ICD-9/10 coding, CPT coding, and medical billing procedures
- Familiarity with EMR systems such as Lytec is highly desirable
- Excellent computer skills including proficiency in Microsoft Office Suite and health information management software
- Knowledge of HIPAA regulations to ensure patient confidentiality and data security
- Exceptional organizational skills with attention to detail for documentation review and data entry accuracy
- Strong customer service skills combined with professional phone etiquette and clerical experience in a busy office setting
- Ability to handle multiple tasks efficiently while maintaining a positive attitude in a fast-paced environment
