The Clinic Operations Manager is responsible for overseeing all non-clinical operations of the ABA clinic to ensure an efficient, safe, and organized environment for staff, clients, and families. This role manages administrative and front desk staff, coordinates building and facility operations, and supports the seamless onboarding and integration of new team members. The Clinic Operations Manager works closely with clinical leadership to ensure that operational systems align with the clinic’s mission of delivering high-quality care.
Key Responsibilities
Administrative & Staff Oversight
- Supervise, train, and support all front desk and administrative staff.
- Manage scheduling for admin/front desk coverage and ensure adequate staffing.
- Serve as the main point of contact for non-clinical operations within the clinic.
Onboarding, Interviews & Orientation
- Coordinate non-clinical onboarding for all new employees (HR paperwork, system access, badges, technology set-up, supplies, etc.).
- Partner with clinical leadership to schedule and set up clinical onboarding and training.
- Maintain onboarding checklists, ensuring staff are prepared to begin their roles successfully.
- Oversee BT interviews and staff matching for teams in conjunction with clinic director and scheduling staff
- School onboarding and all paperwork associated with BCBAs/BTs entering into schools. Work with the School Services Coordinator to ensure all school related things are in order.
Facilities & Building Operations
- Oversee building maintenance, repairs, and vendor relationships (cleaning, utilities, security, etc.).
- Ensure cleanliness, safety, and organization across all clinic spaces, including therapy rooms, learning stations, waiting areas, and staff offices.
- Monitor and maintain supplies, equipment, and learning materials for staff and clients.
Scheduling & Utilization
- Oversee Scheduling for the clinic and work with the scheduling team as liaison to clinical supports.
- Maintain long term schedules for all clients and review with directors. Coordinate scheduling changes with the scheduling team.
- Coordinate and track clinic space utilization and learning station usage to maximize efficiency.
- Support clinical teams with room scheduling, ensuring balanced allocation of therapy spaces.
- Monitor client flow and adjust systems as needed to reduce wait times and improve family experience.
Operations & Process Improvement
- Develop and refine operational procedures to improve efficiency and clinic organization.
- Track operational metrics such as clinic utilization, station usage, and scheduling efficiency.
- Collaborate with clinical directors to align operational systems with clinical needs.
Qualifications
- Bachelor’s degree in Business Administration, Healthcare Management, or related field preferred (or 2 years equivalent experience in an ABA company in a leadership role).
- Prior experience in operations, ABA, office management, or healthcare/clinic setting required;
- Strong leadership and people management skills.
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with scheduling software, Microsoft Office/Google Suite, and basic data tracking tools.
