Our business has thrived largely on word-of-mouth, and now we're looking for a sharp, resourceful operator to help us build the internal systems and infrastructure to take us to the next level.
The Opportunity
This is a hands-on role for someone who loves organizing chaos, implementing tools, and creating workflows that stick. You'll work directly with ownership to modernize our operations from the inside out, everything from organizing project files to setting up a CRM, refreshing our website, and creating automated lead capture systems. This is a long-term position for someone who will not only build these systems, but also maintain them over time, while assisting with research, day-to-day operational needs, and administrative tasks.
What You'll Do
- Audit current workflows and identify opportunities for efficiency and organization
- Recommend and implement tools for:
- Project Management (e.g., Asana, Monday.com)
- CRM & Sales Pipeline (e.g., HubSpot)
- File Organization & Cloud Storage (Google Workspace)
- Accounting & Invoicing (QuickBooks Online or similar)
- Overhaul and improve the company website, adding clear lead capture forms
- Set up Zapier automations to route form submissions into the CRM, trigger email follow-ups, and notify the team instantly
- Create a basic marketing presence (social media, portfolio updates, simple ad campaigns)
- Help establish a scalable sales pipeline to track new opportunities from lead to project close
- Provide research, administrative, and assistant support as needed
What We're Looking For
- Strong organizational and problem-solving skills
- Comfort with tech tools and willingness to learn new platforms quickly
- Experience in business operations, project coordination, or office management (construction/renovation industry experience a plus)
- Ability to work independently and communicate clearly
- Comfortable working in-person from our Long Island office and occasionally at client sites in
- Manhattan
- Thrives in a fast-paced environment with evolving priorities
Nice to Haves
- Familiarity with construction or interior design industry workflows
- Experience implementing CRMs, project management tools, or cloud-based systems from scratch
- Knowledge of website platforms (Squarespace, Wix, or WordPress)
- Experience with marketing automation tools like Zapier, Mailchimp, or HubSpot Marketing Hub
- Graphic design or content creation skills (Canva, Adobe Creative Suite)
- Understanding of basic SEO and online advertising (Google Ads, Meta Ads)
- Prior experience in a small business or startup environment where adaptability was key
