Dispatcher

Position Summary

The Logistics Coordinator is responsible for planning, coordinating, and monitoring the movement of goods to ensure timely, efficient, and cost-effective deliveries. This position serves as the primary point of contact between drivers, dispatch, customers, and internal departments, ensuring compliance with company procedures, DOT regulations, and customer requirements.

Essential Duties and Responsibilities

• Schedule, dispatch, and monitor shipments to ensure on-time pickup and delivery.
• Serve as the communication link between drivers, customers, and internal departments regarding shipment status, delays, and changes.
• Coordinate with warehouse, operations, and sales teams to align shipping schedules with operational capabilities.
• Track shipments in real time and resolve delivery or routing issues promptly.
• Maintain accurate shipping documentation, including bills of lading, load manifests, and proof of delivery.
• Accurately input and update load details, carrier information, customs records, and payroll data in company systems and spreadsheets.
• Verify that all loads meet regulatory, contractual, and safety requirements.
• Maintain accurate records in the transportation management system (TMS) and company databases.
• Assist with freight claims, billing discrepancies, and customer inquiries.
• Develop and maintain positive relationships with carriers, vendors, and customers.
• Support process improvements to enhance operational efficiency and cost control.
• Participate in paid on-call rotation.

Required Qualifications

• High school diploma or equivalent; associate or bachelor’s degree in logistics, supply chain, or related field preferred.
• Knowledge of HOS (Hours of Service).
• Minimum 1 years of experience in transportation, dispatch, or logistics coordination (trucking industry preferred).
• Knowledge of DOT and FMCSA regulations.
• Proficiency in transportation management systems (TMS) and Microsoft Office Suite.
• Strong organizational, problem-solving, and multitasking skills.
• Excellent communication skills, both written and verbal.
• Ability to work in a fast-paced environment with changing priorities.

Physical Requirements

• Ability to remain seated for extended periods while working on a computer or phone.
• Occasional lifting of up to 15 lbs. to handle documents, small packages, or office supplies.
• Ability to work flexible hours, including evenings or weekends, during peak business needs.

Work Environment

Primarily office-based with frequent communication via phone, email, and dispatch systems. Occasional visits to warehouse, yard, or customer sites. Exposure to typical office noise levels and occasional exposure to loading dock or yard environments.
