Mental Health organization looking to staff a new centralized patient scheduling center. Office hours 8:30am - 5pm, Monday - Friday; will work out of headquarters located in Pleasanton CA.
The Patient Scheduler serves as a vital member of the outpatient mental health team, ensuring that clients are connected to the right services at the right time. As part of our centralized scheduling team, this position is responsible for scheduling appointments, answering and triaging calls, verifying eligibility, maintaining accurate records, and providing exceptional customer service to clients, families, and referral sources.
This role plays a critical part in improving access to care, supporting provider productivity, reducing no-shows, and creating a positive patient experience from the first phone call through ongoing treatment. Requires high degree of patient discretion and EXCEPTIONAL customer service skills.
RESPONSIBILITIES:
- Answer and manage a high volume of incoming and outgoing calls.
- Schedule new and returning patient appointments.
- Reminder appoitnment calls
- Verify eligibility, benefits, and appointment requirements.
- Coordinate appointments with psychiatrists, nurse practitioners, physician assistants, and other clinical staff.
- Maintain accurate patient information within electronic health record systems.
- Support appointment confirmations, waitlists, recalls, and patient outreach efforts.
- Triage calls and route urgent concerns to appropriate clinical staff.
- Track scheduling activities and assist with operational reports.
- Deliver outstanding customer service while helping patients navigate care.
- Prepare daily, weekly and monthly reports on all activities.
QUALIFICATIONS:
1. Minimum of High School diploma.
2. Medical Office Certification OR BA in Human Services or related field preferred.
3. Minimum of 2 years’ experience working with in an office, clinic or customer service environment serving the mentally ill population.
4. Minimum of 2 years of experience working in a call center environment or intake department.
5. Ability to deliver “excellent” customer service to all clients enrolled in the clinic.
6. Experience in conducting intakes and/or scheduling patients.
