Job Summary
Under direction of the HR Operations Manager, the Payroll Specialist will ensure accurate and timely processing and recording of the company's weekly payroll. The Payroll Specialist will provide timely and accurate financial information and participate in weekly data entry Payroll processing. The Payroll Specialist will respond to payroll-related questions to both internal and external customers as needed and will complete, check, and process payroll-related forms and documents in accordance with established guidelines. The Payroll Specialist will be detail oriented, ensuring all applicable laws and regulations are always followed. They will be responsible for exemplifying excellent customer service and the Company’s core values, culture, policies and procedures at all times.

Essential Job Functions
- Process weekly payroll accurately and timely for US and Canada
- Maintain accurate employee records including wages, deductions, benefits, taxes, and garnishments
- Respond to payroll-related questions to internal and external customers in a prompt and courteous manner
- Strong attention to detail, focus, and follow through
- Educate, train, maintain, and hold department accountability and professionalism through crucial conversations and timely documentation
- Work with department managers to solve employee problems proactively and quickly
- Strong ability to use a computer and related software applications
- Work with managers and employees to correct timecard errors
- Prepare timecards to be locked and committed each pay period
- Collect additional pay items and prepare them for import to payroll (commissions, referral bonuses, etc.)
- Investigate and correct payroll discrepancies and errors
- Preparing payroll reports for the Accounting department
- Generating payroll G/L entries and maintenance of G/L
- Mailing out W2s and T4s at end of year and assisting with other year end activities and adjustments
- Depositing weekly HSA, 401K, and RRSP contributions
- Generate separation checks as needed
- Maintain and ensure compliance with local, state, and federal tax regulations
- Process and manage wage garnishments, ensuring timely and compliant deductions

- High School diploma required
- Must be at least 18 years of age
- 1 year Payroll or HR experience
- Canadian payroll experience a plus
- ADP and Workday experience a plus
- Comprehensive understanding of local, state, and federal employment laws
- Exceptional interpersonal communication and relationship-building skills
- Proficiency with Microsoft Office products
- Must be able to read and speak clearly in English
- Self-manage with moderate supervision
- Proven ability to solve problems effectively
- Exceptionally organized with task and time management
