Job Summary
We are seeking a highly organized and proactive Studio Assistant to join our dynamic team. The ideal candidate will play a vital role in supporting the daily operations of our studio, ensuring that all administrative tasks are executed efficiently. Our team is dedicated to creating a welcoming, professional, and detail-oriented environment for every client who walks through our doors. This position is vital to the smooth day-to-day operations of the studio and requires someone who can balance administrative work with client support in a fast-paced, boutique environment. This position requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Duties
- Provide direct support to the owner with business and personal tasks as needed
- Assist in event planning and coordination for studio activities and workshops
- Oversee schedule management to ensure smooth operation of daily activities
- Assist with daily opening and closing procedures
- Coordinate inventory, supplies, and vendor communication
- Help with social media, marketing materials, and basic website updates
- Provide general administrative and personal support to management
- Provide client support, including check-ins, scheduling, and follow-ups
- Manage phone calls, emails, and client communications
- Manage vendor relationships and maintain effective communication with external partners
- Support human resources functions including onboarding and training & development initiatives
- Process payroll and maintain accurate records for employee hours
- Handle budgeting and bookkeeping tasks to ensure financial accuracy
- Provide clerical support including filing, data entry, and maintaining organized office records
- Manage front desk operations, including greeting visitors and handling multi-line phone systems
- Coordinate calendar management for studio staff and executives
- Supervise junior staff members and assist with team management responsibilities
Qualifications
- Proven experience in office management or administrative roles
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills, both verbal and written
- Familiarity with Canva or similar software is preferred
- Experience in medical office management is a plus
- Background in event planning, vendor management, and schedule management is advantageous
- Ability to work collaboratively within a team environment while also being self-motivated
- Proficiency in clerical tasks such as filing and maintaining accurate records
