Position Overview:
The Receptionist provides essential support to the Beaufort County Black Chamber of Commerce (BCBCC) by performing a variety of clerical and administrative tasks. This role ensures the efficient operation of the office, maintains accurate records, and supports event and rental coordination as needed.
Key Responsibilities:
Receptionist Duties
- Support the front desk by answering and routing phone calls, taking messages, and responding to general inquiries.
- Greet visitors and direct them to the appropriate staff or resources.
- Manage the visitor sign-in process and track office appointments.
Clerical Support
- Maintain organized filing systems, including physical and digital records.
- Perform routine data entry, ensuring accuracy and confidentiality.
- Photocopy, scan, and prepare documents as requested by CEO.
- Sort and distribute incoming mail and manage outgoing correspondence.
Event and Space Rental Assistance
- Assist in scheduling and tracking events and rental bookings.
- Prepare and organize materials needed for events or meetings.
- Provide basic setup and support during events or rentals.
Reception and General Office Support
- Monitor and order office supplies to maintain inventory.
- Ensure the office and front desk areas remain clean and organized.
- Support special projects or administrative tasks as assigned.
- Respond to member inquiries.
- Track new members and send membership cards or packets to new or renewing members.
Qualifications
- High school diploma or equivalent required; clerical experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel) and basic office equipment.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to prioritize tasks and manage time effectively.
