What are the responsibilities and job description for the Scheduling Coordinator position at BEACON BEHAVIORAL SUPPORT SERVICES?
As a Scheduling Coordinator with Beacon Behavioral Partners, you will be the engine of our centralized scheduling department. Based on-site in one of our DFW locations, you will schedule new and follow-up patients, partner with clinic leadership to keep provider schedules full, track referrals in our CRM, and support front office check-in processes.
Minimum Qualifications:
- High school diploma or equivalent
- 1 years in healthcare scheduling, patient access, or medical front office
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Ability to work independently and as part of a team
Preferred Qualifications:
- Associate's or Bachelor's degree in healthcare administration or related field
- EMR (InSync preferred) and CRM (Zoho preferred) experience
- Behavioral health or psychiatric practice experience
Responsibilities:
- Schedule new patient and follow-up appointments across assigned clinics
- Partner with Program Directors to maintain fill rates and surface capacity gaps
- Run scheduling and utilization reports; act on open slots, no-shows, and recall opportunities
- Manage the referral pipeline in Zoho, log referrals, track conversion, follow up on stalled leads
- Collect copays, deposits, and balances at scheduling and check-in
- Support Grant Group front office with check-in, insurance verification, and intake
- Communicate with patients, referring providers, and clinic staff while maintaining HIPAA compliance
- Resolve scheduling conflicts and escalate provider availability issues with proposed solutions
- Maintain accurate records of scheduling, referral, and payment activity
Skills:
You will use strong organizational skills to keep schedules full and access seamless. You will communicate effectively with patients, providers, and referral sources to move the pipeline. Your comfort with data — running reports and acting on what you see — will help clinics hit volume and access targets. Attention to detail and the ability to prioritize across centralized and on-site work will be essential as our scheduling model scales.
