Position Overview

Under the direction of the Payroll Manager, the Senior Payroll Coordinator plays a critical role in ensuring the accurate and timely processing of the Firm’s payrolls. This position is responsible for managing all aspects of payroll data flow—including data entry, retrieval, validation, auditing, and reporting.

The Senior Payroll Coordinator will generate and distribute payroll reports for both internal stakeholders and external agencies, ensuring compliance with regulatory requirements and organizational standards. This role demands precision, discretion, and a strong understanding of payroll systems and tax regulations.


Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Process bi-weekly payroll for approx. 1,000 U.S. employees
  • Perform payroll-related data entry and updates to employee records via PeopleSoft
  • Execute payroll transactions including miscellaneous payments, tax and direct deposit changes, and employee deductions
  • Execute transactions including personal charges, meal charges, etc.
  • Review time and labor reports and ensure timecards are accurate by deadlines
  • Handle non-routine transactions such as off-cycle checks for terminations, missed payments, stop payments, direct deposit reversals, and replacement checks, as needed
  • Reissue W-2s and respond to payroll inquiries and payroll report requests timely
  • Maintain payroll inbox timely
  • Process journal entries and reconcile payroll-related general ledger accounts
  • Review and reconcile all payroll processing reports prior to payroll deadlines
  • Complete monthly checkbook reconciliation
  • Balance and process payroll general ledger to the accounting system
  • Reconcile employee personal charges, wireless, and meal charges monthly
  • Ensure compliance with federal, state, and local payroll regulations
  • Assist in the preparation and filing of payroll tax returns on a monthly, quarterly, and annual basis
  • Maintain accurate payroll records and support audit documentation requests
  • Respond to employee inquiries, investigate issues, and ensure timely resolution
  • Maintain timely communication through the payroll inbox, ensuring all inquiries are resolved efficiently
  • Report recurring issues to the Payroll Manager to improve processes and service
  • Collaborate with HR and Finance departments to ensure seamless payroll operations
  • Participate in special projects as assigned


Essential Job Specifications/Qualifications

  • Demonstrated ability to communicate professionally and clearly, both verbally and in writing, with internal and external stakeholders at all levels
  • Advanced proficiency in Microsoft Outlook and Excel, with hands-on experience using payroll software systems
  • Proven ability to work under deadline pressure while maintaining strong attention to detail and effectively prioritizing tasks in a dynamic environment
  • Solid working knowledge of IRS regulations and payroll-related federal and state tax laws
  • Commitment to maintaining professionalism and confidentiality at all times, including appropriate phone etiquette, demeanor, and appearance
  • Strong organizational skills with the ability to manage and retrieve large volumes of data in both physical and electronic formats
  • Ability to multitask efficiently and remain focused amid frequent interruptions
  • Self-motivated and capable of working independently with minimal supervision, especially when handling sensitive and confidential information
  • Willingness to work overtime, if necessary
  • Reliable attendance and punctuality, with the ability to consistently report to work on scheduled days and times


Experience

  • Total Payroll Experience: 5–8 years of progressively responsible experience in payroll processing, including multi-cycle and multi-state payrolls
  • Accounting/General Ledger Experience: 3–5 years of experience with payroll-related journal entries, reconciliations, and financial reporting
  • System Proficiency: Hands-on experience with enterprise payroll systems (e.g., PeopleSoft, ADP, Workday, Dayforce, Rippling, Paylocity, Paycor)
  • Compliance & Tax Filing: Demonstrated experience with federal, state, and local payroll tax regulations and filings
  • Advanced Excel skills
  • Certifications (Not required, by preferred): FPC
