Job Summary
We are seeking a dynamic and organized Front Desk Administrator/Human Resources Assistant to join our team! Duties
- Greet visitors, answer inquiries, and direct them appropriately to ensure a positive first impression.
- Manage front desk operations including phone calls, mail distribution, and scheduling appointments with efficiency and professionalism.
- Assist with talent acquisition activities such as posting job openings, screening resumes, scheduling interviews, and coordinating candidate communications using ATS (Applicant Tracking System) tools like iCIMS or Workday.
- Support employee onboarding by preparing orientation materials, conducting new hire introductions, and ensuring completion of necessary documentation.
- Maintain accurate HR records through data entry in HRIS platforms such as SAP SuccessFactors, Oracle HCM, or UltiPro; ensure data collection is complete and up-to-date.
- Assist with benefits administration tasks including enrollment processes, benefits inquiries, and supporting compliance with FMLA (Family and Medical Leave Act) and OSHA (Occupational Safety and Health Administration) regulations.
- Support employee relations initiatives by coordinating training & development programs, performance management processes, and conflict management efforts.
Qualifications
- Proven administrative experience with excellent organizational skills and attention to detail.
- Strong communication skills with the ability to interact professionally with diverse audiences.
- Familiarity with human resources management systems such as Workday, ADP, Paychex, or Kronos is highly desirable.
- Knowledge of employment & labor law principles including FMLA, workers' compensation, affirmative action planning, and OSHA standards.
- Experience in talent acquisition strategies including recruiting via social media management platforms and HR sourcing techniques.
- Ability to handle confidential information discreetly while managing multiple priorities efficiently.
- Demonstrated project management skills with the ability to coordinate training & development initiatives or organizational design projects effectively.
