Bayview Property Management is seeking a detail-oriented and organized Administrative Team Member to join our team. The Administrative Team Member plays a crucial role in supporting our community management operations and maintaining efficient office procedures. The ideal candidate will have excellent communication skills, a strong work ethic, and the ability to multitask effectively.
The Administrative Assistant will be responsible for providing exceptional customer service to our clients, managing day-to-day office operations, and supporting our Community Managers in various administrative tasks.
Skills & QualificationAssociate's degree; additional education or certification in office administration is a plus.
Strong written and verbal communication skills.
Proficient in Microsoft Suite, especially Excel.
Able to do self-error-checking and extremely comfortable with using multiple computer programs/websites.
Willingness to learn new tasks and tackle new projects/responsibilities as needed.
Attention to detail and organizational skills.
Ability to multitask and prioritize tasks effectively.
Provide exceptional customer service to clients, answering phone calls, responding to emails, and managing inboxes.
Manage day-to-day office operations, including updating owner information, supporting on mailings/blast communications, and answering basic community questions.
Assist Community Managers with administrative tasks, including data entry, web portal setup, digital file organization, email/call campaigns, and special projects.
Answer basic accounting phone calls and emails, such as balance requests, statement requests, and online payment setup assistance.
Support Managers with special projects, including data entry, filling out violation notice templates from inspection spreadsheet, and updating community forms.
Follow office procedures to support community management operations.
Maintain accurate and up-to-date records and reports.
Participate in training and professional development to enhance skills and knowledge.
Perform other administrative tasks as assigned by Management.
