General Summary:
The Scheduler II provides excellent customer service while performing complete and accurate registration and scheduling functions to provide information for continuity of care and revenue cycle efficiency. The Scheduler II is responsible for patient registration, scheduling, and associated tasks which include information collection and validation. Insurance-related tasks include verification, collection of co-payments (when applicable), and collection of associated paperwork. Multitasks between answering phone calls, making outbound phone calls and assists patients, physicians, and payors with their scheduling needs. The Scheduler II must possess excellent communication, interpersonal, organizational skills, and a superior level of attention to detail. The Scheduler II assists with the training of new employees and provides cross-support in other scheduling areas. The Scheduler II may be asked to perform other duties as assigned to support the department’s needs.

Responsibilities:
- Schedule/ Reschedule patients for department services or studies based on physician referral.
- Manage electronic worklists.
- Scheduling of patients to include advanced utilization of Epic.
- Precept for orientation and training of all newly hired schedulers in standard procedures, quality control, quality assurance, and continuous quality improvement programs.
- Follow established templates, protocols, multiple appointment types and coordinating proper sequence for multiple exams.
- Communicate patient instructions.
- Communicate with HIM and registration to add providers to relevant database(s).
- Communicate to providers and patients on specific requirements and location of exams, transcribing orders, educating new patients on policies, late appointment arrival times, medications, etc.
- Coordination of specialty involved procedures by referencing the monthly/weekly physician assignment schedules.
- Cross trained to schedule across different pods. Coordinate and complete more complex scheduling cases for various specialties.
- Schedule via overbook access to assist with expedited scheduling and STAT request.
- Notifies providers and patients of requirements during scheduling process.
- When needed, execute the necessary steps and documents to establish medical necessity when appropriate.
- Ensures that medical coverage is active, updated, correct in Epic, and resolves any issues that are counterproductive to establishing eligibility. Uses Epic to determine insurance eligibility. Uses websites to determine coverage/eligibility.
- Evaluate referrals and link to appropriate upcoming appointments.
- Communicate in a manner that provides a consistent positive patient experience.
- Assists in identification of ways to improve scheduling process.
- Manages patient appointment cancellations and rescheduling.
- Utilizes wait lists properly to offer patients an opportunity to schedule appointments through the EMR system.
- Contacts patients to confirm appointment dates and times prior to visit.
- Will pre-register patient when appropriate and verify insurance eligibility.
- Assist with communicating patient responsibilities (e.g., copays) and collect upfront.
- All other duties as assigned within the scope and range of job responsibilities.
- Education: High School Diploma or GED ;
- Credential(s): None Required
- Experience: Required: Two (2) years’ experience: medical clerical/office, medical scheduling software, medical billing, and medical insurance.
Preferred Education, Credential(s) and Experience:
- Education: Associate Degree Business Or Associate's Degree in healthcare related field or a graduate of a medical/practical nursing licensed technical program.
