Position Overview:
We're seeking a highly organized Warehouse Administrative Assistant to join our team. In this role, you’ll provide critical support to our warehouse operations by managing the administrative and clerical aspects of shipping, receiving, and inventory. Your attention to detail and communication skills will help ensure the seamless flow of materials in support of essential projects.
Key Responsibilities:
Shipping & Receiving Administration
- Coordinate and schedule incoming and outgoing shipments.
- Verify deliveries against packing slips, purchase orders, and bills of lading.
- Prepare shipping documentation including BOLs, labels, and customs forms.
- Maintain detailed shipping and receiving logs; report discrepancies and damages.
- Communicate delays or issues to internal teams.
Warehouse Clerical & Data Entry
- Accurately record transactions in our ERP system (Microsoft Dynamics 365 Business Central).
- Maintain organized records of inventory movement and audit trails.
- Support inventory cycle counts and reconciliations.
- Generate reports on shipping status, inventory, and receiving activity.
- Assist with internal and external audits as needed.
Qualifications:
- U.S. Citizenship required due to government contract work.
- High school diploma or GED (associate degree preferred).
- 2 years of warehouse administration or logistics experience.
- Strong skills in Microsoft Office (especially Excel); ERP experience preferred.
- Detail-oriented with strong organizational and communication skills.
- Comfortable working in a fast-paced environment with competing priorities.
- Familiarity with basic warehouse operations and freight documentation.
Work Environment:
- Office setting within a warehouse environment.
- Some lifting (up to 25 lbs) and walking required.
- Standard business hours with flexibility during peak operational periods.
