 Position Title: Engagement Coordinator 

Department: Growth Office           Reports To: Director of Outreach and Partnerships
                                                                                                   
 
Primary Location: Washington, DC                   FLSA Classification: Non-Exempt

Parameters: Full-time; 12 months/year              Pay Range: $48,000 - $51,000

Position Summary:   Engagement Coordinator creates and maintains long-term, trusting relationships between Bay Atlantic University (BAU) and our audience, including but not limited to prospective students, current students, alumnae, family, and friends etc. The Engagement Coordinator reports to the Director of Outreach and Partnerships and coordinates with other departments to carry out engagement and recruitment activities.

 Duties and Responsibilities:

1.    Check and respond to general requests that come to Bay Atlantic University email account(s)
2.    Respond to the website live chat
3.    Enter new email; live chat, social media leads information in CRM
4.    Schedule, call, and nurture student leads to encourage them to submit an application
5.    Represent the university in marketing, outreach, and recruitment activities including, but not limited to, hosting webinars, virtual meetings, fairs, in-person school visits, conferences, etc. to increase engagement and awareness about the university.
6.    Oversee the Student Ambassador program and provide guidance and training to Student Ambassadors on campus. Work closely with the Social Media Manager and Student Ambassadors to support university engagement and recruitment initiatives
7.    Leads Reporting: Using our CRM system, document and prepare weekly reports on student leads from multiple sources, including number of calls, emails, online chats and the outcomes
8.    Engagement Activities and Reporting: Design in-person and online events, coordinate the events with other departments as necessary, gather sign-up and attendance information and conduct post-event surveys. 
9.    Complete initial training with Admissions, Registrar, DSO, Academics, Student Services, and Financial Services to learn about university policies and procedures.
10. Answer questions related to the university and academic programs from prospective students.
11. Help maintain professionalism and cleanliness by making routine checks of the classroom and common areas.
12. Welcome visitors and direct visitors to the appropriate location for meetings and/or appointments.
13. Complete other assignments as instructed.

Employees will follow all university policies, rules, regulations, and guidelines as they relate to this position.
               
Education and Experience Requirements: 

Minimum of Bachelor’s degree in business administration, or related fields.

Proven ability to juggle multiple projects simultaneously, while maintaining attention to detail. Excellent listening, negotiation, and presentation tools. Strong verbal and written communication skills. The ability to speak a second language is a plus. Display ability to complete tasks and maintain professionalism and confidentiality if required.

Knowledge, Skills, and Abilities:

Knowledge of and ability to follow university policies and procedures. 

Ability to communicate, influence, and convert prospective students. Ability to deliver custom solutions depending on customer needs.

Knowledge of CRM platforms (e.g., Salesforce, Constant Contact).

Presentation skills and experience with essential tools such as MS Office (particularly Excel) and Canva. Adobe Creative knowledge is a plus.

Knowledge of the proper operation of and the ability to use personal computers and standard office equipment.

Knowledge of recruiting, job placement and/or career advising techniques. Knowledge of certification tests used for career assessment.

Skill in evaluating a student’s academic interests and desires to formulate a plan designed to assist the student in achievement of specified academic and career goals.

Ability to relate to a diverse population and to maintain composure when faced with difficult situations.

Ability to multi-task and organize, prioritize, and follow multiple projects and tasks through to completion with an attention to detail.

Ability to analyze problems, identify solutions and take appropriate action, resolve problems using independent judgment and decision-making processes.

Ability to establish and maintain effective working relationships with supervisors, other department staff, students, and the public. Ability to work independently while contributing to team environment.
 

Work Environment: Work is primarily performed under general supervision in an office setting with appropriate climate control. Travel, early morning, evening, and weekend work may be required.

 
Physical Requirements: Essential functions of this position require: lifting, manual dexterity, ability to communicate.

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body; involves sitting majority of time; walking and standing are required only occasionally, and all other sedentary criteria are met

 
Mental Application: Utilizes memory for details, verbal instructions, emotional stability, critical thinking, adaptability, and creative problem-solving skills are important.
