Description
Overall Summary:
Under the supervision of the Facilities Manager, the Facilities Coordinator supports the effective operation of Bay Area Community Health (BACH) facilities by managing ticket workflows, coordinating vendor services, and ensuring timely communication with users. This role integrates financial processes, reporting, and vendor management to maintain a safe, efficient, and compliant environment across all BACH facilities.
Essential Responsibilities:
To be performed in accordance with BACH Policies and Procedures
- Review incoming tickets daily for completeness and accuracy.
- Assign tickets to internal Facilities Technicians (IG techs) or external vendors, based on scope.
- Track progress, ensure updates are posted in Freshservice, and verify resolution before closure.
- Provide regular updates to BACH users regarding status changes.
- Ensure all work orders are closed promptly once completed and verified.
- Enter work order costs into eRequester for approval and invoice payment.
- Maintain an accurate record of expenses associated with each work order.
- Prepare monthly reports summarizing: number of work orders opened, closed, and pending, average turnaround times by priority, monthly facilities costs and trends.
- Identify recurring issues for preventive maintenance planning.
- Maintain active schedules for recurring services such as: HVAC maintenance, landscaping, fire and safety inspections, janitorial services, roofing and building systems maintenance, track contract renewals and compliance dates.
- Maintain stock of essential facility supplies (tools, safety equipment, cleaning materials).
- Track usage and reorder supplies to avoid shortages.
- Other duties as assigned and requested.
Secondary Responsibilities:
- Attend workshops, training, and meetings as needed, and as requested.
- Perform other duties as assigned by supervisor.
Qualifications
Preferred Education, Experience, and Training:
- Bachelor’s degree in Facilities Management, Facilities Engineering or related qualification such as project management, business management or construction management
- Demonstrated knowledge of principles and practices of project management
- Sound knowledge of health, safety and environmental regulations
- Experience in construction, maintenance and all facets of facility operation
- Solid computer and systems knowledge
Physical Demands:
This position requires:
- Sitting, walking, and standing in a typical medical/clinical office environment.
- Extended and/or prolonged periods of sitting, walking, or standing.
- Regular bending, stretching, and lifting up to 50 pounds.
- Regularly reaching with arms, climbing, balancing, stooping, kneeling, crouching, and crawling while performing job duties.
- Moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
- Manual dexterity for tasks involving standard office equipment and computer keyboard, including repetitive movements such as typing.
- Traveling to work sites, including exposure to outside elements.
- Exposure to potentially dangerous materials, hazards, physical risks and situations, requiring adherence to extensive safety precautions and possibly the use of protective equipment.
