Job Title: Front Desk / Scheduling Coordinator – CardiologyPosition Summary
Multiple Locations (Brandon, Riverview, Sun City, Tampa)
The Front Desk / Scheduling Coordinator is the first point of contact for patients in a fast‑paced cardiology practice. This role is responsible for delivering excellent customer service while managing patient check‑in and check‑out, appointment scheduling, phone communication, and administrative support. The ideal candidate is organized, detail‑oriented, calm under pressure, and experienced in a high‑volume medical setting.
Key Responsibilities
Front Desk & Patient Check‑In
- Greet patients professionally and courteously upon arrival
- Verify patient demographics, insurance information, and referrals
- Collect co‑pays and balances at check‑in and/or check‑out
- Ensure all required paperwork and consents are complete and accurate
- Maintain patient flow and communicate delays when necessary
Scheduling & Appointment Management
- Schedule new and follow‑up cardiology appointments, testing, and procedures
- Coordinate schedules for multiple providers and diagnostic services (e.g., EKGs, echocardiograms, stress tests, Holter monitors)
- Manage cancellations, reschedules, and waitlists efficiently
- Ensure appointments meet insurance and referral requirements
- Provide clear appointment instructions and preparation guidelines to patients
Telephone & Communication
- Answer high‑volume phone calls promptly and professionally
- Route clinical calls and messages appropriately
- Assist patients with general questions regarding appointments, directions, and office policies
- Use proper phone etiquette while maintaining empathy and professionalism
Administrative & Office Support
- Enter and update patient information accurately in the EHR/EMR system
- Scan and upload documents into patient records
- Assist with referral tracking and coordination
- Maintain a clean, organized, and welcoming front desk area
- Support clinical and administrative staff as needed
Qualifications & Skills
Required
- High school diploma or equivalent
- Minimum 1–2 years of experience in a medical front desk or scheduling role
- Strong customer service and communication skills
- Ability to multitask in a high‑volume, fast‑paced environment
- Proficiency with computers, EMR systems, and basic office equipment
- Professional demeanor and commitment to patient confidentiality (HIPAA)
- Reliable Transportation
- Ability to travel to other locations for coverage
Preferred
- Experience in cardiology or a specialty medical practice
- Knowledge of medical terminology and insurance verification
- Experience with referral and prior authorization processes
- Bilingual (Spanish a plus, depending on practice needs)
