Front Office Coordinator

Location: Yakima, WA Job Type: Full-time, Non-Exempt

Wage Range: $18 - $22 per hour (DOE)

Work Schedule: Monday – Thursday, 7:00 AM – 5:00 PM; Fridays 7:00 AM – 11:00AM.

Industry: Construction, Mitigation, Restoration, and Custom Remodels Reports To: Office Manager

Remote Work: Not available – this is an on-site position.

Position Overview:

We are seeking a professional and motivated Front Office Coordinator to be the welcoming face and voice of Baxter Construction. This role is critical to the first impression of our company and is the primary point of contact for customers, especially those experiencing property loss emergencies such as water, fire, mold, or storm-related incidents.

The ideal candidate will be detail-oriented, personable, and quick-thinking, with the ability to manage multiple responsibilities while maintaining a calm and professional demeanor. This position plays a key role in supporting our project managers, estimators, technicians, and clients by ensuring front office operations run smoothly and efficiently.

Key Responsibilities:

  • Greet and assist visitors in a professional and friendly manner.
  • Answer and direct incoming calls to appropriate staff members.
  • Serve as the first point of contact for clients reporting property damage emergencies.
  • Manage and maintain the front office, ensuring cleanliness and organization.
  • Receive and distribute mail, packages, and deliveries.
  • Maintain schedules, calendars, and office supplies.
  • Assist with basic administrative duties, including filing, data entry, and document preparation.
  • Communicate with team members to support project coordination and client service.
  • Uphold confidentiality of sensitive information and maintain professional standards.


Qualifications:

  • High school diploma or equivalent; associate degree or administrative certification preferred.
  • Prior experience in an administrative, receptionist, or customer service role.
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and commitment to accuracy.
  • Professional communication skills (verbal, written, and listening).
  • Proficiency with Microsoft Office Suite and general office equipment.
  • Ability to maintain confidentiality and composure under pressure.
  • Friendly and approachable demeanor with strong customer service orientation.
