Role and Responsibilities
We are seeking a professional, personable, and organized Receptionist/Intake Specialist to be the first point of contact for our firm. This individual will serve as both the “face” and “filter” of the company, providing a welcoming experience for visitors while ensuring a smooth intake process for potential clients.
The ideal candidate will have a friendly, approachable personality, strong communication skills, and the ability to manage a high volume of calls and administrative tasks with accuracy and efficiency. A customer-oriented and compassionate approach is essential, particularly when assisting potential clients seeking legal representation.
Key Responsibilities:

Greet and welcome clients and visitors; determine the nature and purpose of their visit and direct or escort them to the appropriate destination.

Answer, screen, and route all incoming calls in a professional manner; take and deliver accurate messages when needed.

Handle a high volume of daily calls, schedule consultations using Outlook, and manage attorney calendars effectively.

Conduct intake for potential clients seeking representation, ensuring all information is accurately entered into the company’s case management system.

Provide clear and compassionate explanations of the intake process and services offered.

Collect, sort, distribute, and prepare mail, emails, and courier deliveries.

Maintain a tidy and presentable reception area with necessary materials (forms, pens, water, etc.).

Prepare outgoing correspondence and secure parcels.

Monitor and order office supplies as needed.

Maintain updated records and files with attention to detail.

Collaborate with staff to ensure the highest level of client service and follow-through.
- Perform additional clerical or administrative duties as assigned (e.g., scheduling, travel arrangements).
Qualifications and Education Requirements:

High School Diploma or equivalent.

Minimum 1 year of experience in a Personal Injury law firm (preferred).
- Experience in reception, intake, or client-facing roles.
Preferred Skills:
