Overview
We are seeking a dynamic, personable, and highly organized Front Desk Receptionist / Patient Coordinator to become the welcoming face of our dental clinic. The ideal candidate will provide exceptional customer service, support our front desk operations, and help create a positive experience for every patient from their first interaction with our clinic through their continued care. Some dental experience is a must for this role.
This is currently a part-time position with the opportunity to transition into a full-time role for the right candidate. We are especially interested in someone who is confident communicating with patients, comfortable discussing treatment plans and scheduling, and motivated to help increase patient appointments, support treatment acceptance, and improve patient retention.
Duties
- Warmly greet patients and visitors to create a welcoming, professional environment.
- Answer and manage a multi-line phone system using excellent phone etiquette.
- Schedule new and existing patients efficiently and maintain an organized appointment calendar.
- Follow up with patients who have pending or recommended treatments and assist with scheduling their appointments.
- Work alongside the existing Front Desk Receptionist to assist with insurance breakdowns, treatment estimates, and patient questions regarding coverage.
- Communicate with patients regarding upcoming appointments, pending treatments, and other clinic needs.
- Build positive relationships with patients and provide outstanding customer service to encourage patient satisfaction and retention.
- Assist in identifying opportunities to bring patients back for recommended or pending treatment.
- Handle patient inquiries professionally by phone, in person, and through other clinic communication channels.
- Perform administrative and clerical duties including filing, data entry, proofreading, correspondence, and maintaining accurate patient records.
- Assist with calendar management and coordinate appointments to maximize provider and clinic efficiency.
- Manage incoming and outgoing mail and general office correspondence.
- Maintain a clean, organized, and welcoming front desk and waiting area.
- Monitor office supplies and assist with ensuring equipment and front office systems are functioning properly.
- Support the clinic team with other administrative duties as needed.
Qualifications
- Previous front desk, receptionist, dental/medical office, customer service, or administrative experience preferred.
- Bilingual candidates are highly encouraged to apply.
- Excellent verbal and written communication skills.
- Strong customer service skills and a warm, professional personality.
- Comfortable communicating with patients about appointments, treatment, and insurance-related questions.
- Strong organizational skills with the ability to multitask and prioritize in a busy clinical environment.
- Proficiency with Microsoft Word, Excel, Outlook, and general computer applications.
- Comfortable working with multi-line phone systems and standard office equipment.
- Strong attention to detail and ability to maintain accurate records.
- Ability to work independently while also being an effective team member.
- A positive attitude, professional appearance, reliability, and willingness to learn are essential.
Pay: $17.00 - $22.00 per hour
