Job Summary
We are seeking a highly organized and detail-oriented, Bilingual Appointment Coordinator to join our healthcare team. The ideal candidate will manage patient scheduling, coordinate appointments, and support medical administrative functions within a busy clinic environment. This role requires excellent communication skills, proficiency in electronic health record (EHR) systems, and a strong understanding of medical terminology and billing processes. Bilingual abilities and prior clinic experience are highly valued to ensure seamless patient service and efficient office operations.
Duties
- Schedule patient appointments accurately using EMR systems such as ModMed.
- Verify insurance coverage and perform insurance verification procedures to facilitate billing processes.
- Review and update patient medical records, ensuring compliance with HIPAA regulations and health information management standards.
- Assist with medical billing and coding tasks, including CPT and ICD coding (ICD-9, ICD-10), to support accurate documentation review and claims processing.
- Manage front desk responsibilities including answering multi-line phones, greeting patients, and providing exceptional patient service with professional phone etiquette.
- Maintain organized filing systems for medical records, documentation review, and office paperwork.
- Support clinic operations by managing appointment rescheduling, cancellations, and follow-up communications.
- Assist with intake procedures for new patients and ensure accurate data entry using computer skills such as typing and Microsoft Office applications.
- Provide administrative support related to care plans, medical office management, and office management tasks to ensure smooth clinic workflow.
Requirements
- Proven experience in a medical office setting or healthcare environment with familiarity in medical administrative support or front desk roles.
- Knowledge of EMR/EHR systems including ModMed.
- Strong understanding of medical terminology, CPT coding, ICD coding (ICD-9/ICD-10), insurance verification processes, and health information management standards including HIPAA compliance.
- Experience with dental terminology is a plus for dental clinic environments.
- Excellent communication skills with professional phone etiquette; bilingual abilities are highly desirable.
- Proficiency in computer skills such as typing (including 10-key typing), Microsoft Office Suite (Word, Excel), filing systems, and multi-line phone systems.
- Prior clinic experience or healthcare administrative experience is preferred; familiarity with hospital or dental office operations is advantageous.
- Ability to handle multiple tasks efficiently while maintaining attention to detail in documentation review and patient scheduling.
- Strong organizational skills coupled with a customer service-oriented approach to support both patients and staff effectively.
