- Manage client communications with clarity, empathy, and professionalism, ensuring all questions are addressed thoroughly.
- Utilize productivity software such as Microsoft Office, spreadsheets, and Word processing tools to document interactions, update client records, and prepare reports.
- Perform data entry tasks accurately within QuickBooks and other office management systems to track transactions and customer information.
- Support front desk operations by greeting visitors, managing appointment calendars, and handling administrative tasks such as proofreading documents and organizing files.
- Coordinate with team members to streamline office processes, manage schedules, and ensure efficient workflow through excellent organizational skills.
- Assist with clerical responsibilities including filing, photocopying, proofreading correspondence, and maintaining office supplies.
Experience
- Previous experience in customer service or front desk roles is highly desirable.
- Demonstrated proficiency with Microsoft Office suite (Word, Excel), spreadsheets, and data entry software such as QuickBooks.
- Strong computer literacy with the ability to quickly adapt to new productivity or office management tools.
- Experience in office management or administrative support roles that involve calendar management, phone communication, and clerical tasks.
- Familiarity with multi-line phone systems, medical receptionist duties or personal assistant experience is advantageous.
- Proven organizational skills with the ability to manage time effectively while handling multiple priorities in a fast-paced environment.
