Barton & Gray Mariners Club is redefining the future of yachting, operating a fleet of 90 yachts across 33 harbors along the East Coast and Great Lakes. Our growing Portsmouth, NH team is seeking a Crew Operations Coordinator to play a key role in managing and optimizing captain coverage across our fleet.
This position is central to daily operations—balancing real-time staffing needs, anticipating demand, and ensuring seamless member experiences. The ideal candidate is a proactive problem-solver who thrives in a fast-paced environment and enjoys coordinating across teams to keep operations running smoothly 365 days a year.
Responsibilities
- Coordinate and optimize captain scheduling across all harbors to ensure consistent, reliable coverage for all member outings
- Collaborate with Regional Crew Managers to manage work schedules, time off, and overall workforce planning
- Proactively identify and resolve coverage gaps, including last-minute callouts and unexpected schedule changes
- Analyze historical and upcoming assignments to balance workloads and reduce risk of captain burnout
- Develop creative, cross-region staffing solutions to maximize fleet uptime and operational efficiency
- Monitor and manage overtime usage, identifying opportunities to improve scheduling efficiency
- Support the strategic relocation of captains throughout the season to align with shifting harbor demand
- Ensure proper alignment of captain credentials with vessel requirements (e.g., OUPV vs. 50 Ton)
- Partner with Logistics to anticipate staffing needs based on fleet expansion and new vessels entering service
- Collaborate with HR to track captain onboarding, transitions, and employment timelines
- Work closely with Payroll to ensure schedules and time off are accurately reflected
- Assist in seasonal workforce planning, including spring onboarding and fall transitions
- Contribute to forecasting and hiring strategies using historical data and growth projections
Requirements
- Available for scheduled on-call rotating night & weekend hours.
Qualifications
- College degree preferred or relevant experience in Operations & Logistics
- Excellent analytical, communication, and organizational skills.
- Team-oriented mindset with a strong sense of accountability and ownership
- Comfortable working with data and systems; proficiency in Mac applications
- Strong references (background check required).
