Rental Coordinator

Job Summary: 

The Rental Coordinator will primarily be responsible for the overall scheduling, coordinating, and oversight of “Party Place” parties. Responsibilities include coordinating dates/times with prospective renters, confirming parties and final counts, reserving rooms in reservation software, hiring, overseeing and assigning Party Place staff, purchasing supplies, handling concerns, and assisting with other Party Place rental duties as needed. Hours will be scheduled Monday-Friday but the position does require some weekends and evenings depending on the schedule and staffing. This is an at-will position.

Duties and Responsibilities:

• Be the contact person for party reservations.
• Coordinate birthday party reservations including communicating with prospective renters, scheduling parties and staff, providing information and serving as the primary point of contact.
• Confirm parties and final counts before scheduled party date.
• Schedule and supervise Party Place staff by overseeing parties, evaluating performance and taking appropriate disciplinary action if needed.
• Participate in the recruitment, hiring and interview process for Party Place staff.
• Follow current hiring procedures to ensure necessary paperwork is completed in a timely manner.
• Schedule orientation, staff meetings and provide training for employees as needed.
• Maintain stock of party supplies (decorations, tablecloths, cups, etc.)
• Coordinate with contractual entertainers to schedule and confirm attendance at parties.
• Follow-up with parties by providing an evaluation/survey to seek feedback.
• Be creative in developing new, exciting and appealing party options.
• Work with Marketing to request materials to advertise and promote Party Place.
• Monitor birthday party rental payments, follow up and collect outstanding monies.
• Ability to work weekends. Check in on birthday parties on a regular basis.
• Assist with special events as needed.
• Perform other duties as assigned.

Qualifications:

Must be a minimum of 18 years of age and a high school graduate or equivalent.  Must have the ability to organize supplies and materials for parties.  Must be dependable.  Requires strong people and customer service skills, and the ability to communicate effectively with staff, the public and people of all age groups.  Must have excellent computer skills and the ability to learn reservation software.

Schedule & Pay: This is a part-time, hourly position. Flexible schedule with weekends and evenings as needed.  Anticipated hiring range is between $17.00 - $20.00 per hour, dependent on experience.
