Overview: We are seeking a excellence-oriented and organized Office Assistant to join our boutique bookkeeping firm. Bilingual proficiency is a plus, as well as familiarity with QuickBooks Desktop, Microsoft Office, and Google. Responsibilities
- Manage front desk operations, including greeting visitors and handling phone calls with professional etiquette
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office and Google for correspondence, multiple websites for client transaction compilation, and report preparation
- Support office management tasks such as inventory control, supply ordering, and record keeping
- Provide customer support via phone, email, or in person to ensure positive client interactions
- Handle clerical duties including typing, photocopying, shredding and maintaining organized files and client binders
- Support bookkeeping activities using QuickBooks Desktop
- Maintain a professional appearance and ensure a welcoming environment
Qualifications
- Proven experience in office administration or clerical roles
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google, and data entry skills
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Bilingual abilities are highly desirable to assist diverse clientele
- Experience with QuickBooks Desktop, bookkeeping, or medical/dental receptionist or record keeping duties is a plus
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Ability to manage time efficiently and prioritize tasks effectively (deadlines in bookkeeping are vital)
- Excellent attention to detail for proofreading documents and maintaining accurate records
- Prior experience as a personal assistant or administrative support role is advantageous
Hours & Wages:
- This is a part-time IN PERSON position. The hours will be a set schedule but we are willing to work with a quality candidate. The range is 20-30 hours per week depending on the candidate's interest and the accompanying workload. Hours may need to increase during peak months.
- Wages BEGIN at $19.50/hr. This is a job with quick pay advancement possibilities with proven work excellence and reliable attendance.
