    JOB DESCRIPTION
    TITLE: BHS ADMINISTRATIVE ASSISTANT TO ASSOCIATE PRINCIPAL - STUDENT SERVICES

    QUALIFICATIONS
    :
    1. High school diploma or equivalent, some college preferred.
    2. Knowledge of office practices and procedures, computer software (i.e. Word, Excel), and computer/office equipment.
    3. Possess excellent typing/word processing skills.
    4. Possess excellent communication and organizational skills.
    5. Good attention to accuracy and details.
    6. Demonstrate a high level of proficiency in the use of the English language in oral and written forms.
    7. Ability to establish and maintain effective working relationships with all staff and the public.
    8. Demonstrate exemplary interpersonal skills, and communicates clearly and distinctly in person and on the phone.
    9. Ability to deal courteously and effectively with both the public and staff.
    10. Willing to learn new duties and technology skills as required.
    11. Ability to comprehend and maintain complex ISBE data and information.
    12. Ability to maintain strict confidentiality with regard to students' record information.
    13. Possess good problem solving skills.
    14. Self-directed and self-motivated in job related tasks.

    PURPOSE OF JOB:
    This position provides full clerical and general office support for the Associate Principal, teachers, and assistants in the Special Services Department.

    RESPONSIBILITIES
    :
    1. Act as a receptionist to screen and route telephone calls, letters, and/or visitors, and answer routine questions when appropriate. Welcome and direct visitors/families while waiting for scheduled meetings in the department office reception area.
    2. Organize and maintain the Associate Principal's correspondence files, Special Services student records, and follow up on pending matters.
    3. Route or respond to routine correspondence/memoranda not requiring the Associate Principal's direct attention.
    4. Compose and type routine letters, reports, and memoranda as requested.
    5. Schedule appointments and coordinate arrangements for meetings.
    6. Demonstrate a positive and friendly attitude that projects a positive image of the district, staff, and students.
    7. Take the initiative to provide prompt, courteous service when information or assistance is requested.
    8. Maintain various departmental financial accounts as directed, and prepare check requests, purchase orders, maintenance requests, and other requisitions as needed.
    9. Coordinate field trips for special education classes including bus requests and necessary form submissions.
    10. Contact hospitals and off-site school placements when appropriate and assist with the record keeping for special needs students including attendance and grades.
    11. Coordinate classroom assignments for hospitalized students between mainstream teachers and hospital tutors.
    12. Maintain state-mandated records and keep an accurate count of data base enrollment figures.
    13. Assist with the coordination and submission of application requests for accommodations on state mandated and college entrance exams (ACT, PSAT, PSAE, SAT, AP).
    14. Request substitutes for departmental staff members when appropriate.
    15. Maintain daily attendance records of department classified staff and assist the Associate Principal by preparing bi-monthly classified staff time cards for approval prior to submission.
    16. Complete correspondence and file information regarding the referrals/suspensions/expulsions of special education students.
    17. Supervise assigned student workers and students waiting in the department office reception area.
    18. Maintain inventory of assistive technologies checked out through the department. (i.e. tape recorded books, large print books and periodicals, etc.)
    19. Perform other tasks and responsibilities assigned.

    GENERAL COMMENTS:
    The nature of this position requires dependability, an ability to maintain confidential information, and the demonstration of ethical, professional conduct at all times. A working knowledge of community (people and resources) is desirable. Occasionally may be responsible for supervising students in the reception area.

    PHYSICAL CONTEXT OF THE JOB:
    This position requires the use of computers for word processing and entering data, FAX machines, and photocopying machines. Some light lifting (no more than 25 lbs.) may occasionally be required.
