We are currently seeking a motivated and flexible Accounting Specialist to join our team. This position is a great opportunity for someone with a basic accounting background who is eager to develop their skills in a dynamic and supportive environment. You will work closely with the Controller and play an essential role in our organization’s financial operations. This role offers hands-on responsibilities and is perfect for someone who wants to take ownership of their work while contributing to a small, professional team. Accounting Specialist Responsibilities:

  • Accounts Payable:
  • Manage daily AP processes, including vendor setup, invoice entry, check preparation, and resolving vendor and team queries.
  • Process and verify credit card charges.
  • Reconcile vendor payable reports. Assist with special projects including audits, preparation of 1099s, and scanning invoices into the shared drive. Complete tax-exempt certificates for vendors as needed.
  • Close A/P cycle timely to assist with the month-end close.
  • Accounts Receivable:
  • Prepare and issue invoices to customers on a monthly basis.
  • Prepare and analyze accounts receivable reports to identify outstanding balances and overdue accounts.
  • Communicate with Project Managers regarding customers with outstanding payments or discrepancies.
  • Prepare and monitor lien releases on projects in a timely manner.
  • General Administrative Support:
  • Maintain organized records of accounts, ensuring proper filing and documentation for the company and audit purposes.
  • Perform other duties as necessary to meet the ongoing needs of the organization.


Skills and Qualifications:

  • Communication: Excellent verbal and written communication skills.
  • Accounting Software Proficiency: Experience with accounting software such as QuickBooks, Sage, or similar, along with strong MS Excel skills.
  • Self-Starter: Ability to work independently and in a fast-paced environment.
  • Proactive and Professional: Ability to anticipate work needs and interact professionally with customers and vendors.
  • Organizational Skills: Strong attention to detail and excellent organizational abilities.


Education and Experience:

  • Education: A high school diploma or equivalent is required; an associate or bachelor’s degree in accounting is preferred.
  • Experience: At least two years of related experience in accounting or a similar role.
