Position Summary
The Office Administrator plays a critical role in the daily operation of the academy. This individual will provide administrative support, maintain student records, assist with communications, support marketing efforts, and help create a welcoming environment for students and families.
The ideal candidate is professional, dependable, detail-oriented, technologically comfortable, and enjoys working with children and families in a fast-paced arts environment.
Primary Responsibilities
Front Office & Customer Service
- Greet students, parents, and visitors in a friendly and professional manner
- Provide excellent customer service and assist families with questions
- Answer incoming phone calls and respond to Google Voice text messages
- Monitor and respond to company voicemail messages
- Assist with student check-in and general front desk operations
Administrative Support
- Maintain and update student registration records
- Process enrollment paperwork and class information
- Assist with attendance tracking and student account management
- Maintain accurate digital and paper files
- Support academy leadership with administrative projects and special events
Communications & Marketing
- Monitor and respond to company email inquiries
- Create and schedule social media posts
- Monitor social media messages and comments
- Assist with marketing and promotional efforts for classes, performances, and events
- Help maintain consistent communication with academy families
Facility & Operations Support
- Maintain a clean and welcoming office and lobby environment
- Perform light cleaning duties including organizing reception areas, wiping surfaces, and maintaining studio presentation standards
- Assist with event preparation and performance logistics as needed
- Support volunteer coordination and parent communications
Qualifications
Required
- High school diploma or GED
- Strong written and verbal communication skills
- Basic computer proficiency and ability to learn new software systems
- Dependable and punctual
- Professional appearance and demeanor
- Ability to work independently and manage multiple tasks
Preferred
- Some college coursework or college degree
- Administrative, customer service, or office experience
- Experience with social media platforms including Facebook and Instagram
- Experience working with children, families, schools, or nonprofit organizations
- Familiarity with dance, performing arts, or arts education environments
