About The Role The Field Expert Program Coordinator supports the Field Expert Program, Operations, and Leader Development by facilitating all aspects of hiring, onboarding, and offboarding for Field Experts, Seasonal Operations, and Mentor Team roles. This position ensures smooth processes for managers, smooth transitions for applicants, manages communications and logistics, and maintains system accuracy of roles. This position plays a key role in maintaining consistency, organization, and efficiency throughout each hiring process, contributing to a positive and professional onboarding experience for new and returning staff in these positions. What You’ll Be Doing 1. Hiring, Onboarding & Offboarding Coordinate end-to-end logistics for each hiring cycle including job postings, application tracking, candidate communication, and onboarding workflows. Manage onboarding and offboarding documentation, checklists, and process updates to ensure accurate completion of trainings, resources, and system updates. 2. Communications & Cross-Department Collaboration Draft and send professional communications such as application updates, offer letters, welcome messages, and manager notifications. Partner regularly with People & Culture, Scheduling, Trip Development, Leader Development, and Operations to share hiring timelines, onboarding status, and staff transition updates. 3. Systems & Data Management Maintain accurate and up-to-date records in trackers; conduct periodic audits of FE and FL data. Identify opportunities to improve data accuracy and system efficiency through process refinements and collaboration with program leads. 4. Training Coordination & Support Coordinate Field Lead Training logistics, including scheduling, travel, lodging, and training materials; serve as main contact for facilitators and attendees. Provide on-site or remote support during Field Expert and Field Lead trainings to ensure smooth execution and participant readiness. 5. Program Development & Continuous Improvement Identify and suggest workflow or system improvements to streamline hiring, onboarding, and offboarding processes. Track and synthesize feedback from new hires and hiring partners to recommend process adjustments for future seasons. Support seasonal or special projects for the Field Expert Program.
