We are looking for a reliable, organized, and hands-on Cafe Manager to oversee daily operations, support and lead staff, maintain strong service and cleanliness standards, and keep core administrative and inventory systems running smoothly.
Position Summary
The Cafe Manager is responsible for leading day-to-day cafe operations across service, staffing, inventory, cleanliness, systems, and team accountability. This role combines front-of-house leadership with operational management. The ideal candidate is detail-oriented, proactive, guest-focused, and comfortable taking ownership of both shift execution and back-end administrative responsibilities.
This position requires someone who can lead by example on the floor while also managing scheduling, inventory counts, waste tracking, receipt and invoice organization, food safety compliance, and overall store readiness.
Key ResponsibilitiesTeam Leadership & Staffing
- Lead and support the cafe team during day-to-day operations
- Create and manage staff schedules in Sling
- Review time-off requests and staffing needs
- Help train employees on procedures, service standards, and daily expectations
- Reinforce accountability, cleanliness, and consistency across all shifts
- Serve as a leadership presence during busy periods, customer issues, and operational challenges
Daily Operations
- Oversee opening and closing procedures and ensure all tasks are completed accurately
- Maintain smooth workflow during service and support staff as needed
- Ensure the cafe, common space, and guest-facing areas remain clean, organized, and welcoming
- Confirm stations are fully stocked, prepped, and service-ready
- Monitor completion of downtime tasks and deep cleaning tasks
- Help maintain a professional, calm, and hospitality-focused environment
Inventory, Ordering & Waste Control
- Manage inventory systems and tracking procedures
- Complete full inventory counts weekly
- Complete daily active counts on key items such as sandwiches, beans, syrups, and sauces
- Monitor par levels, product movement, and waste trends
- Maintain organized inventory and communicate restocking needs
- Oversee waste tracking and support better product control and cost awareness
Administrative & Financial Responsibilities
- Photograph and upload receipts to the designated tracking system
- File receipts and invoices properly and maintain organized records
- Support invoice management and payment scheduling
- Handle cash-control responsibilities such as till closeout, bank deposits, and change orders when needed
- Report discrepancies, supply issues, or operating concerns promptly
Product Quality & Compliance
- Maintain drink quality and recipe consistency across all menu items
- Ensure espresso is dialed in to standard and beverage builds follow recipe and ratio sheets
- Enforce food labeling, dating, shelf-life, and FIFO procedures
- Verify that expired or improperly labeled products are discarded
- Ensure food handling, hot holding, cooling, reheating, and sanitation practices are followed correctly
- Maintain a high standard of readiness across bakery, beverage, prep, and storage areas
Guest Experience & Brand Standards
- Deliver excellent customer service and help create a welcoming cafe environment
- Address guest concerns professionally and effectively
- Uphold community-facing programs and service standards with consistency
- Help protect the quality, professionalism, and reputation of the b3 cafe brand
Qualifications
- Previous management or leadership experience in a cafe, coffee shop, restaurant, or hospitality setting required
- Strong organizational and communication skills
- Experience with scheduling, inventory control, and cash handling preferred
- Ability to lead a team while also completing operational and administrative tasks
- Strong attention to detail and ability to follow systems consistently
- Comfortable working in a fast-paced, hands-on environment
- Reliable, punctual, and solution-oriented
- Able to stand for extended periods and lift up to [insert lbs] pounds
- Flexible availability, including mornings, weekends, and some holidays
