Responsibilities
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
- Manage single-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette.
- Handle incoming correspondence, emails, and inquiries with professionalism and efficiency.
- Maintain organized filing systems, perform data entry, and ensure accurate record keeping using digital tools like Google Workspace and Microsoft Office.
- Assist with calendar management, appointment scheduling, and coordinating meetings for staff or clients.
- Perform clerical duties such as proofreading documents, managing office supplies inventory, and supporting general office management tasks.
- Provide customer support by addressing inquiries promptly and professionally, ensuring high levels of customer satisfaction.
- Support personal assistant tasks when needed, including travel arrangements or special project coordination.
Skills
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.
- Familiarity with single-line phone systems and phone etiquette to handle calls efficiently.
- Strong typing skills combined with attention to detail for proofreading documents and data entry tasks.
- Exceptional time management skills to prioritize tasks effectively in a fast-paced environment.
- Previous experience as a receptionist in a tax or financial office is advantageous but not required; relevant personal assistant experience is also valued.
