Job Overview
We are seeking a dynamic and highly organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service in a fast-paced environment. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for visitors and callers while managing a variety of clerical tasks that keep our tax office running efficiently. Responsibilities

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
  • Manage single-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette.
  • Handle incoming correspondence, emails, and inquiries with professionalism and efficiency.
  • Maintain organized filing systems, perform data entry, and ensure accurate record keeping using digital tools like Google Workspace and Microsoft Office.
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff or clients.
  • Perform clerical duties such as proofreading documents, managing office supplies inventory, and supporting general office management tasks.
  • Provide customer support by addressing inquiries promptly and professionally, ensuring high levels of customer satisfaction.
  • Support personal assistant tasks when needed, including travel arrangements or special project coordination.

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.
  • Familiarity with single-line phone systems and phone etiquette to handle calls efficiently.
  • Strong typing skills combined with attention to detail for proofreading documents and data entry tasks.
  • Exceptional time management skills to prioritize tasks effectively in a fast-paced environment.
  • Previous experience as a receptionist in a tax or financial office is advantageous but not required; relevant personal assistant experience is also valued.

Pay: $20.00 - $22.00 per hour
