JOB SUMMARY
B.A. Harris is seeking a highly organized and detail-oriented Accounting Firm Administrative Coordinator. The Administrative Coordinator ensures that both client-facing operations and internal financials function with excellence. This individual will oversee front-office management, core accounting tasks, and utilize the firm’s technology stack to provide optimized, high-quality, efficient deliverables to our clients.
KEY RESPONSIBILITIES
ADMINISTRATIVE SUPPORT
- Oversee front desk operations, supporting front-office staff to ensure consistent coverage and high-level service standards
- Manage a high-volume, multi-line phone system, communicating clearly and professionally with clients, vendors, and internal staff
- Coordinate firm-wide scheduling, including internal meetings and conference room logistics, while balancing competing priorities
- Facilitate the secure intake, organization, and digital filing of client tax documents and other sensitive financial records in accordance with confidentiality standards
- Maintain accurate, well-organized digital files for financial documents, bills, and invoices with exceptional attention to detail
- Monitor office supply inventory and coordinate with vendors to ensure timely, cost-effective procurement
- Identify and promptly escalate scheduling conflicts, missing information, or operational issues to senior staff
- Support team members with special projects, research, and client communications as needed
FINANCIAL OPERATIONS
- Oversee daily accounting functions, including the comprehensive management of Accounts Payable (AP) and Accounts Receivable (AR)
- AP Management: Process invoices, verify approvals, and manage weekly payment cycles
- AR Operations: Generate and distribute client billings, post incoming payments, and manage the Accounts Receivable Aging Report to ensure timely collections.
- Handle secure client payments, manage recurring billing, and monitor deposit reports
- Assist in preparing month-end statements for client balances

TECHNICAL SKILLS
Required
- Proficiency in Office Suite, including Microsoft Excel (data entry and basic formulas), Outlook and OneNote
Preferred (Training Provided)
- Experience with QuickBooks, including data entry and basic AP/AR functions
- Experience with CCH Axcess (Tax, Practice, Workflow modules) for practice management
- Experience with CPACharge for secure payment processing
QUALIFICATIONS
- Education: Bachelor's degree in business administration, Accounting, or a related field preferred
- Experience: 3 years of administrative or office management experience required, preferably within a Firm environment
