Office Administrator – Pool Service Department
We’re looking for a highly organized, customer-focused Office Administrator to support the daily operations of our Pool Service Department. This role is a key part of keeping our service team running smoothly and our customers happy. You’ll be the central point of communication between customers, service technicians, and management—making sure schedules stay on track, details don’t fall through the cracks, and everyone has what they need to succeed.

What You’ll Do
- Answer incoming service calls and emails with professionalism and a friendly, helpful attitude
- Schedule service appointments and create/complete technician work orders
- Process service billing and invoicing, and assist with accounts receivable
- Prepare and submit warranty claims and maintain service documentation
- Keep service records, work orders, and customer information accurate and up to date
- Support service technicians with administrative tasks and job preparation
- Assist customers with general questions about pool operation, equipment, and water chemistry
- Work closely with other departments to ensure efficient, well-coordinated service operations
What We’re Looking For
- Strong organizational skills with the ability to multitask and prioritize effectively
- Excellent communication skills and a customer-first mindset
- High attention to detail and accuracy with administrative and clerical work
- Previous experience in an office or service-based environment preferred
- Knowledge of pool equipment, plumbing, or water chemistry is a plus—but not required
