Job Summary:
The Sales Operations Coordinator plays a key role in supporting the sales team by managing order processing, maintaining accurate sales data, creating invoices, and ensuring smooth communication between sales, customer service, and other departments. This position helps streamline sales processes, improve customer satisfaction, and support the team in achieving operational and revenue goals.
Key Responsibilities:
✅ Order Processing:
Accurately enter customer orders into the system (ERP/CRM)
Review orders for completeness, pricing, and contract terms
Coordinate with production, warehouse, and shipping teams to ensure timely fulfillment
Stay up to date on inventory levels and availability
✅ Invoicing & Documentation:
Prepare and issue accurate invoices.
Maintain up-to-date records of sales orders, invoices, and delivery schedules
Resolve any discrepancies related to orders, fulfillment, or billing
✅ Sales Team Support:
Assist sales reps with administrative tasks, quotes, and order status updates
Prepare sales reports, forecasts, and other data as requested
Maintain and update customer account information
✅ Customer Communication:
Act as a liaison between customers and internal teams to address order-related inquiries
Ensure excellent customer service by providing timely updates on orders and shipments
✅ Process Improvement:
Identify ways to streamline sales operations processes
Assist in maintaining SOPs (Standard Operating Procedures) for sales administration
✅ Fulfillment Support:
Assist fulfillment team when needed
Participate in operational staff and improvement process projects
Qualifications:
Bachelor’s degree required
1–3 years of experience in sales support, order processing, or sales operations.
Proficiency in Microsoft Office (Excel, Word); Google Workspace, NetSuite, SPS Commerce, ShipStation, Shopify, retail portals, experience with CRM or ERP systems a plus
Strong attention to detail and organizational skills
Excellent written and verbal communication skills
Ability to multitask and work in a fast-paced environment
