The Receptionist / Sales Administrator is responsible for providing front desk coverage, customer reception, phone management, and administrative support to the Sales and Installation teams. This role performs assigned duties following established procedures, guidelines, and schedules, and works under general supervision. The position is primarily operational and support-focused and does not include supervisory or independent decision-making authority.
Key Responsibilities
Front Desk & Office Operations:
- Greet all visitors and callers warmly and professionally, in person, by phone, or via email
- Determine visitor or caller needs and route appropriately
- Maintain a clean, organized, and professional front desk, lobby, kitchen, and waiting areas
- Ensure no sensitive or confidential materials are left visible
- Maintain Google shared calendar availability when out of office or unavailable
- Stock, order, receive, and organize office and kitchen supplies
- Monitor lobby presentation including seating, displays, music, lighting, and digital screens
Sales Administrative Support:
- Process and track eCommerce (Shopify) and Wholesale Dealer orders through our inventory system (Epicor) and CRM (Streak).
- Route customer inquiries and emails using established territory maps and referral tools
- Provide customers with order status, stock availability, and tracking information using approved systems.
- Enter and update order-related information in internal systems and dealer portals
- Document customer interactions and maintain accurate records
- File and organize confidential customer price files and other documents
- Escalate issues or exceptions to appropriate team members or management as needed
Required Skills & Qualifications:
Education and Experience:
- High school diploma or GED required
- Post-secondary coursework or administrative, business, or customer service training preferred
Technical Skills:
- Proficiency with google workspace (Gmail, calendar, Docs, sheets)
- Working knowledge of Microsoft Office (Outlook, Word, Excel)
- Experience with multi-line phone systems and voicemail management
- Ability to learn and navigate order management, dealer portals, and time-tracking systems
- Basic data entry, recordkeeping skills
