We are seeking an experienced Executive Assistant to provide exceptional support to our senior-level executives. This role is essential to the efficiency of our business, requiring a proactive and highly organized individual who thrives in a fast-paced, dynamic environment. The Executive Assistant will manage complex schedules, handle a wide range of administrative tasks, and perform notary public duties, such as witnessing document signings.

About The Position

Essential Functions And Responsibilities
- Provide administrative support to senior executives, including our Executive Vice President, Finance, and/or one other senior executive.
- Calendar management and scheduling, accounting for day-to-day meetings, calls, and movements.
- Make travel and accommodation arrangements.
- Track, prepare, and submit expenses on a monthly basis for reimbursement.
- Format information for internal and external communication – this may include emails, presentations, or reports.
- Take minutes during meetings.
- Provide backup support to other Executive Assistants.
- Perform Notary Public duties as required.
- Work with other team members to plan meetings and Company events.
- Assist with special projects as needed.
- 5 years of experience as an Executive Assistant.
- Current Notary Public license issued by the Notary Commission of the State of California.
- Excellent MS Office knowledge.
- Extremely detail-oriented, outstanding organizational and time management skills.
- Excellent verbal and written communication skills.
- Self-motivated, proactive, and forward-thinking.
- Diplomatic and tactful.
- Maintain a positive attitude and willingness to work with all team members.
- Willingness to go above and beyond to consistently produce excellent quality of work.
- Must be able to effectively communicate with all levels of internal and external contacts.
- Ability to work independently and multitask in a fast-paced team environment.
- Discrete concerning confidential or sensitive information.
