The AG Human Resources Assistant (HRA) supports the AG client on site in SW Washington, DC in the Office of Background Investigations (OBIC) by providing broad-based senior administrative and technical assistance to a federal team including, but not limited to, supporting all staffing, recruitment and reporting functions. Person must be able to follow instructions however have superb independent judgement in day to day execution of tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Support USCP by providing administrative support for the Sworn Recruitment initiative.
- Monitor recruitment voicemails, e-mails and assist with proctoring of POST exams.
- Schedule recruitment Orientation and POST Exams and input information in the recruitment calendar.
- Input, edit, and update hiring process information in automated systems, i.e., APEX, Talent Management System (TMS) and POBITS.
- Review and submit travel authorization requests and travel vouchers for approvals through Momentum.
- Review work processes and identify improvements to reduce bottlenecks or increase efficiency.
- Organize and maintain records management for the Investigation’s case jackets filing system.
- Create and maintain current fiscal year daily case activity report.
- Schedule sworn candidate polygraph, medical, and psychological examinations. Provide weekly report on civilian background investigations.
- Finalize, route, and track correspondences for review and approval using OHR-SharePoint electric tracking system.
- Analyze administrative data from a variety of sources to develop trends, patterns, profiles, proposals, and studies.
- Support USCP by providing human resources administrative support for OBIC. Provide front desk customer service support for OBIC services via phone, email or in person visits.
- Schedule and confirm appointments, entering data into the OBIC tracking system.
- Assist OBIC representatives with the Virtual or Onsite assessment processes including coordinating and publishing itineraries, coordinating and sharing logistical details with candidates and other offices, managing registration processes, and compiling data from assessment center outcomes for reporting.
- Monitor and manage all aspects of scheduling and emailing potential candidates associated with the OBIC’s virtual and on-site assessments, including various tests, screenings, interviews, and examinations.
- Provide a variety of data extraction support and reporting including preparing comprehensive briefs.
- Respond to customer requests and questions in person, on the phone and virtual, maintaining confidentiality.
- Enter, monitor, manage, review and process OBIC time and attendance in Workbrain.
- Complete special projects as assigned by the Division Commander.
