Work Schedule: 7:00AM – 4:00PM, M-F In-Office requirement

Locally owned and operated, Autism Response Team has served the special needs population of North Texas for nearly a decade. We provide ABA therapy services both in-clinics and in-home.
Your Role as a Scheduling Coordinator:
As a Scheduling Coordinator with Autism Response Team, you are an essential link between your clients and the clinicians who provide therapy services in clinic.
With your strong organizational skills, you anticipate future staffing needs for your local office, and you create and manage staff schedules that effectively align clients’ needs for service with staff availability to ensure clients’ needs are fulfilled.
With your strong attention to detail and exceptional communication skills, you participate in recruiting and hiring as you collaborate with the talent acquisition and onboarding teams to help shepherd new colleagues through our established processes as they join the organization. This includes conducting interviews and assisting with new hire and other trainings.
Position Overview
The Scheduling Coordinator plays a critical role in ensuring the successful delivery of ABA therapy services by aligning client needs with clinician availability. This position serves as a central communication hub between families, clinical staff, and internal departments, supporting both daily scheduling operations and long-term workforce planning.
Key Responsibilities
Scheduling & Operations Management
- Develop, maintain, and adjust clinician schedules to ensure full coverage of client services
- Anticipate staffing needs and proactively identify gaps in coverage
- Coordinate real-time schedule changes, call-outs, and coverage needs
- Ensure accuracy and compliance within scheduling systems (e.g., CentralReach)
- Monitor and protect authorized service hours to ensure fulfillment
- Communication & Coordination
- Serve as the primary scheduling liaison between staff, families, and leadership
- Communicate updates clearly, timely, and professionally
- Collaborate with clinical leadership to align staffing with treatment plans
Recruiting & Onboarding Support
- Support hiring efforts in partnership with Talent Acquisition
- Assist with training logistics and new hire integration
- Administrative Support
- Maintain accurate scheduling documentation and records
- Track and report on staffing and service delivery metrics
- Ensure adherence to company policies and confidentiality standards
What We Are Looking For:
· High school graduate.
· Type 45 WPM.
· Computer savvy with intermediate to advanced knowledge of Microsoft Office and Outlook.
· Experience with or knowledge of practice management | scheduling software, such as Central Reach, is desired.
· Self-motivated, responsible, honest and articulate.
· Excellent organizational, communications and time management skills.
· Demonstrate a professional demeanor, boundaries and composure.
· Ability to politely interact with individuals and families from diverse boundaries.
